- Description
- The Department of Justice (DOJ), Multimedia Management Section, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and meals for conference services in Washington D.C. on the following dates: March 28th and 29th, 2002. These dates have been pre-established and are unlikely to change so interested vendors must be able to have accommodations available for the date(s) listed. The requirements for the conference are as follows: Meeting Facilities - One ballroom (3/28/02 8:00 AM - 5:00 PM and 3/29/02 8:00 AM - 12:30 PM). Three breakout rooms for 20 people each all day on 3/28/02 ONLY.. General Session - The ballroom must be set-up for the seating of 100 people in "rounds". Breakout Rooms - three rooms to accommodate 20 persons each - conference style seating. Audiovisual Requirements: - The following equipment is required for each day: four table microphones - to be setup in the ballroom. Sleeping Rooms - Eighty sleeping rooms for the meeting are required for the night before the conference and the night of the conference. A rooming list will be provided. Each participant will be solely responsible for room incidentals, damage, etc. Catering Requirements - Continental breakfast 3/28/02 and 3/29/02 -; Lunch - on 3/28/02 and afternoon snacks on 3/28/02 - times to be determined Location - The hotel must be located in Washington D.C. and have a three or four diamond rating or equivalent. Due to the number of expected attendees, preference will be given to a hotel within limited walking distance of a Metro train stop. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. This procurement shall be conducted utilizing Simplified Acquisition procedures. The Government intends to award a firm fixed price order, making use of simplified acquisition procedures. It is the desire of the Government to issue only one purchase order to the vendor who can satisfy all the aforementioned requirements. Quotations will be evaluated using Best Value selection procedures which seeks to select an offer based on the best combination of price and qualitative merit. The statement of work serves as the Government's baseline requirements, however, the following characteristics will also be evaluated to assist the Government in making a best value determination. 1. Convenience of transportation. 2. Facility Amenities. 3. Personal/Room Amenities 4. Convenience and Security of Location/Facility.
