Description
THIS COMBINED SYNOPSIS/SOLICITATION REFERENCES THE SITE VISIT FOR SOLICITATION NUMBER F0600-02-T-0041 (F01600-02-T-0041). 19 September 2002 MEMORANDUM FOR RECORD FROM: 42 CONS/ 50 LeMay Plaza South, Building 804 Maxwell AFB, AL 36112-6334 SUBJECT: F0600-02-T-0041 (F01600-02-T-0041) SITE VISIT MEETING MINUTES 1. On 13 September 2002, a site visit was held at Maxwell Air Force Base for the above subject project. All items below refer to the attached combined synopsis/solicitation, F0600-02-T-0041. The following issues were discussed: Total 82 Bedrooms; Total 3 Dayrooms (one (1) with door and two (2) with a triple window and single window); Question: (1) Dayrooms (3 each) will the dayrooms need curtains, shades or vertical blinds? NOTE: Vertical blinds were not include on Form 9. There were vertical blinds on 1st floor and curtains on the triple windows of the completed building contractors were allowed to visit. If YES: *1St Floor dayroom windows on either side measure approx 34inches x 53inches *Need door measurements *Approx. measurements of triple window 106inches W x 53inches H ? will three (3) shades be used or one (1) large shade *Approx. average size of all other windows is 46-1/2inches x 52inches Answer: Dayrooms are not to be considered in the proposal. Question: (2) Form 9 requested 88 Each Installation: shade, and 88 Each Hardware: Drapery Rods?94003 Size 48. Since there is only 82 rooms, are the 6 not accounted for extras? Does this include the dayrooms, if so how? Answer: There are 82 sleeping rooms and the 6 are considered as back-up. Question: (3) During site visit contractors were allowed to visit a complete building. Rods on Form 9 are part number 940043 size 48. Do we want to change rod size to conform to average window size of 46-1/2inches x 52inches? Answer: No Question: (4) Should the finish length of the draperies be 64? (4inches below and 4inches above the window ceil)? Answer: Yes. The finished length of the draperies will be 64?. Question: (5) Shades ? Accordia Cellular: Almond Shell 83361: Size 39w x 64h: Brand Name: Kirsch may be obsolete. Please verify that these shades are still being manufactured. If not please recommend a desirable brand. Or let me know if you will accept a suitable replacement. The approx. average window size in building 1430 is 46-1/2inches x 52inches there is a considerable size difference in the shades. Does size of shades need to be adjusted to conform to average window size. Answer: The brand name Kirsch is still available. Do not adjust the shades. Remember the shades go on the inside of the window. Question: (6) Bedspreads ? Are bedspreads throw style or fitted with gussets like the completed building? Please provide specification on bedspreads (example fill weight?.) Answer: The bedspreads are to be fitted with gussets like the completed building and the fill weight is 6 oz and have a waterfall drop. These are the questions that needed to be addressed as a result of the site visit. Any additional questions are do to me no later than 3:00 PM CDST, Tuesday, September 17, 2002. I need to have the answers posted No later than 4:00 PM CDST, Thursday, September 19, 2002. I appreciate all of your help resolving these questions. 2. Ametex, a division of The Robert Allen Group, 1-800-333-3776, is the sole source manufacturer of the fabrics used in this combined synopsis/solicitation. 3. All vendors who have sent bids prior to this letter must provide an updated proposal to reflect any changes due to the information provided from the SITE VISIT MEETING MINUTES. The response date HAS NOT been extended from 24 September 2002. 4. Attachment: Combined Synopsis/Solicitation, F0600-02-T-0041 This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in the Federal Acquisition Regulation (FAR) Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Solicitation number F01600-02-T-0041 is being issued as a Request for Quotation. This solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2001-09. This acquisition is a 100% set-aside for small business. The North American Industry Classification System code is 314121 with a small business size standard of 500 employees. Line Item *0001: 44 each, Draperies (Panel), fabric and color: Malinka/Royal Lining Blackout, Draw-Right, 100% Terivia; Line Item *0002: 44 each, Draperies (Panel), fabric and color: Malinka/Royal Lining Blackout, Draw-Left, 100% Terivia; Line Item *0003: 163 each, Bedspreads, fabric and color: Hirano/Royal Mattress Dim: 54inches w x 80inches L x 21inches deep, 100% Terivia with poly cotton lining; Line Item 0004: 88 each, Shades, Kirsch - Accordia Cellular, color: Almond Shell ? part number 83361, size: 39inches w x 64inches h; Line Item 0005: 88 each, Installation: Shade; Line Item 0006: 325 feet, Installation: Draperies; Line Item *0007: 88 each, Hardware: Drapery Rods ? part number 94003, size 48. *NOTE: Equal items will not be considered and all submissions must match existing fabric design.Delivery and installation is projected to be around mid-February 2003 at Maxwell Lodging, 40 S. Arnold Street, Building 849, Maxwell AFB, AL 36112. FOB is Destination. A one-time Site Visit will be held, prospective contractors will meet at 8:30 a.m., Friday, 13 September 2002 at the Bell Street Gate Maxwell AFB, AL, contact Carolyn Wardell, Contract Specialist, (334) 953-5698 for reservation. NOTE: The Site Visit will be in a Hard Hat Area. This request for quote will be evaluated in accordance with the provision 52.212-2, Evaluation?Commercial Items. Award will be made to the offeror with the lowest price quote technically acceptable to meet the requirements of this solicitation. All quotes must be for all the items as stated, partial quotes will not be considered. Responses/Offers are due by the close of business (3:00 PM CST) on 24 September 2002. Offers may be via mail, fax or e-mail. Submit written quotes; oral offers will not be accepted. Award will be made to one vendor. Offerors must include a completed copy of the provision at FAR 52.212-3, Offeror Representation and Certifications-Commercial Items, and DFARS 252.225-7000, Buy American Act-Balance Payment Program Certificate, with the quotation.
