- NAICS Code: 721110 This is a combined synopsis/solicitation for commercial items prepared in accordance with FAR Subpart 12.6 as supplemented with additional information included in this notice. This announcement constitutes the only solicitation. Quotes (RFQ) are being requested and a written solicitation will not be issued. The Environmental Protection Agency requires conference room and breakout space for 350 participants in the Cocoa Beach, Florida area. In celebration of the 30th anniversary of the clean Water Act and in celebration of the Year of Clean Water, EPA will be highlighting January 2003 as coastal and oceans month. The Federal Government-sponsored Technology Transfer Conference will be held January 27- 31, 2003. Federal employees will be exchanging management tools, techniques, and strategic information for dissemination to local estuary programs in their regions. The following Federal Acquisition Regulation (FAR) provisions apply to this acquisition: FAR 52.212-3 Offeror Representations and Certifications?Commercial Items (Apr 2002); FAR 52.212-4, Contract Terms and Conditions. The Environmental Protection Agency would like a quote on the following: 1. Meeting Room Space: 1 general session room each (which includes set of paper and pens for each participant, Podium on Riser w/head table to seat 6 with/6 chairs), in rounds, for 350 participants for 5 days, January 27, 28, 29, 30, 31 (set of paper and pens for each participant) 2. Meeting Room Space: 4 breakout rooms each (which includes set of paper and pens for each participant), in rounds, for 75 participants each for 3 days, January 28, 29, 30 3. Meeting Room Space: 5 breakout rooms each (which includes set of paper and pens for each participant), in rounds, for 75 participants each for 4 days, January 28, 29, 30, 31 4. Pictures of water on each table for the duration of conference 5. Light Refreshments for AM and PM breaks for approximately 350 6. Local telephone service 7. Incoming/outgoing fax service 8. Setup and breakdown service (hotel operational cost) 9. Flip charts w/markers for general session and breakout session 10. Large lobby for poster session Please provide a firm-fixed price quote for the above items. Bidder must be in Cocoa Beach area and able to provide at least 300 sleeping rooms for 4-5 nights; rooms will be acquired by participants under a separate order. AV equipment will be acquired under a separate order. Quotes are due by 3 PM, October 24, 2002. The Government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the Government, price, location and availability of rooms.
