Description
***Modification 01, November 23, 2002, up to 10 people may need to stay overnight with room, dinner and next morning breakfast (meal vouchers would be acceptable). Shuttle Service also for the check in and check out groups November 20, 2002.*** The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space and meals for AmeriCorps*VISTA Pre-Service Orientations (PSO) for 3 days and Early Service Training (EST) for 3 days. This training will take place in the metropolitan Albuquerque, NM area November 17-23, 2002. Registration: Two large tables set up in the assigned registration area outside the main meeting room beginning at noon on Nov 17th and remaining until conference conclusion. Lodging: Four (4) singles and sixty two (62) doubles for Nov 17th - Nov 19th. Four (4) singles and eighty five (85) doubles Nov 20th-22nd. See above about Nov 23rd. Meeting space: One (1) general session Nov 17-23, 2002 set in rounds of eight (8). Six (6) break out rooms with four (4) rounds of eight (8) for participants Nov 18-23, 2002. Meals: Buffet dinner for 128 participants from 5:00-7:00pm on Nov 17th with main meeting room available from 7-8 p.m. for session. Nov 18th meals for 128 with Full buffet breakfast, AM break, buffet lunch, PM break and buffet dinner. Nov 19th meals for 128 participants same as Nov 18th. Nov 20th for 128 with Full buffet breakfast, AM break, buffet lunch. This group will check out and new group of 174 participants will check in. Meals for this group of 174 will follow the above pattern for Nov 20th p.m. dinner through Nov 21st, 22nd, and 23rd. Refreshments: To be served each morning and afternoon of the training. Morning breaks may consist of refreshing coffee, tea and light snacks; afternoon breaks should include cold drinks, coffee, tea and light snacks. Menus must be included in your proposal. Audio Visual Equipment: General Session: One projector screen, one overhead projector, one flip chard, lapel microphone, hand held wireless microphone. TV/VCR, cart, and 10 X 10 screen for Sunday - Saturday in general session. For breakout rooms: (Monday - Saturday) overhead, screen, and one flip chart. Rental expenses for A/V equipment must be included in your proposal. Transportation: Vendor must provide shuttle service to and from area airports, including transportation for participants with special needs, on Nov 17th and Nov 23th ,2002. Any costs associated with shuttle transportation must be included in bid. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Vendor must provide on-site representation during all dates of the event for coordination, problem solving and decision making. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is SWSC-14-03 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-23. The provisions at 52.212.1, Instructions to Offerors-Commercial, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications-Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions-Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders-Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
