Description
The Department of Veteran Affairs, Employee Education System (EES) intends to negotiate with The Chicago Hilton Hotel, 720 South Michigan Avenue, Chicago, IL 60605 on a sole source basis for the acquisition of meeting rooms and refreshments, etc. for the Senior Management Conference to be held on March 20-22, 2003. To limit the travel expenses this conference is attached to the national ACHE conference at the same location. An estimated 700 participants will be attending the Senior Management Conference. EES will require approximately 400 sleeping rooms for the period March 19-21, 2003, at the prevailing Government rate. A general session room accommodating approximately 700 individuals and 10 breakout rooms holding approximately 100 people each will also be required. There will also be a large Exhibit Hall for approximately 30-40=09 10=92x 10=92 booths for Program Office and Special Programs with 24-Poster boards (4x6 or 4x8) in center with additional 20-6=92 tabletop displays. Please allow ample space for crowd to move around and Wheelchair accessibility. Light refreshments for morning and afternoon breaks will be required along with 2-days of box lunches for =93lunch & learn=94 sessions, which is an integral part of the whole conference. The dates of the Senior Management Conference are restricted to March 20-22, 2003 in order to accommodate the participants that are already attending the ACHE Conference. No other source is known to EES is capable of supplying the required rooms and space for the given situation. Any source submitting a written responses to this synopsis shall include sufficient documentation to establish a bonafide capability to fulfill the requirement and must be compliant with the Hotel and Motel Fire Safety Act (provide FEMA number) and the Americans with Disabilities Act. A SOLICITATION IS NOT AVAILABLE. Any written and/or verbal requests for copies of a solicitation relating to this announcement will not be honored or acknowledged. A determination by EES not to compete this requirement based on any responses received to this notice is solely within the discretion of EES. Any information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. The Government will not pay for any information received.
