- The Corporation for National and Community Service, a wholly-owned government corporation intends to award a contract to a qualified vendor in the metropolitan or nearby area of San Juan, Puerto Rico who can provide lodging, catering, and meeting space for an AmeriCorps*VISTA Training. AmeriCorps*VISTA is a federal program which places members in low-income communities to mobilize resources and increase the capacity of those communities to solve their own problems. The Pre-Service Orientation (PSO) will occur August 25-28, 2003. The group will check in on Monday, August 25, 2003 and check out on Thursday, August 28, 2003. We will need the following: Lodging Day 1 August 25: 7 sleeping rooms for 1 night with 2 beds to accommodate double occupancy Day 2 & 3: 54 sleeping rooms for 2 nights with 2 beds to accommodate double occupancy, or 36 sleeping suites for 2 nights with 3 beds to accommodate triple occupancy. The Facility must comply with the American Disabilities Act and should be on the Hotel-Motel national Master List of FEMA/United Stated Fire Administration. The facility selected should be able to accommodate up to 108 people for a group meal, a general conference room for 108, and a breakout room for 54. The chosen vendor must be prepared to provide vegetarian or kosher meals if requested. Catering Day 1, August 25: 1 coffee break for and 1 dinner for 14 persons Day 2, August 26: 1 continental breakfast, 2 coffee breaks, 1 lunch & 1 dinner for 108 persons Day 3, August 27: 1 full breakfast, 2 coffee breaks, 1 lunch and 1 dinner for 108 persons Day 4, August 28: 1 full breakfast, 2 coffee breaks, 1 lunch for 108 persons Based on these catering needs, proposals should include a Per Person cost per meal. Additionally, the facility should be able to hold 108 people (in rounds) for general sessions and have at least 1 break out room for 54 people (in rounds). All rooms (General Session and Breakout) should be set with #2 lead pencils, water service, and should be available from 8:00am to 9:00pm. Proposals must also include cost for parking. The specific requirements are as follows: Day 1 ? breakout room for 16 persons 2-5 p.m. Day 2, 3 & 4 ? a registration area, and (1) six-foot skirted table and (2) chairs. For participants arriving before check-in, an area should be designated for luggage storage. The general session room will be set in rounds for up to 110 people; audio visual needs should include a large projection screen, a cordless microphone, a TV monitor and VCR, (2); (1) breakout room set in rounds must accommodate up to 54 people, and include a cordless microphone. The breakout and general session rooms should remain the same rooms throughout conference. Bid proposals must include the following information to be considered; 1.) Per night sleeping room rate for day 1 double occupancy; day 2 & 3 double and/or triple occupancy (Per Room) 2.) Cost PER PERSON for all catering Due to our status as a federal corporation, we will only consider food costs which fall within the federal per diem rates for your area 3.) Charges for meeting space and audio-visual equipment 4.) Parking The solicitation number is 03-AT-825 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-27. The NAICS Code for this requirement is 721110 and the small business size standard is $5M. The provisions at 52.212.1, Instructions to Offerors-Commercial, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications-Commercial Items with this offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. The clause 52.212-4, Contract terms and conditions-Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required to Implement Statues or Executive Orders-Commercial Items applies to this acquisition.
