- Request for Quotations: The Office of the Under Secretary/International Affairs Staff of the U.S. Department of Education intends to award a purchase order contract for logistical, administrative, and follow-up support to host an international meeting in Washington, DC with approximately 60 participants. Subtasks are to include the following: Subtask 1 - Arrange for simultaneous interpretation services (English/Portuguese), including the services of interpreters, and the appropriate interpretation equipment. Subtask 2 - Arrange for the necessary conference items and materials, including the following: * audio and video support items, including microphones at tables, PowerPoint projector, overhead projector, projection screen, and VHS videocassette player; * high-quality printed materials, including signage for the meeting venue, name tents, name badges, and meeting documents for all participants; * linen tablecloths for tables in the ED Auditorium. Subtask 3 - Arrange for appropriate ground transportation services to transport meeting participants among meeting-related venues. The Contractor shall provide an adequate number of suitable, clean, and well-maintained vehicles as needed and the service shall be timely and professional. Subtask 4 - Arrange catering for all conference-related refreshments, including morning and break refreshments and working lunch during the meeting, as well as any refreshments needed for a reception on the eve of the meeting (reception to be funded by gift funds). Subtask 5 - Take notes during the Dialogue and provide a written summary report of the meeting, 7 to 12 pages in length, no later than three weeks after the Binational Dialogue meeting. All responsible sources may submit a quotation that, if timely received, shall be considered by the agency. Decision to award will be based on price, described ability to perform tasks, and past performance, if applicable. Quotes are due via email by 5:00 PM, July 24, 2003. Length of Contract: 3-4 months.
