- The Corporation for National and Community Service, a wholly owned government corporation intends to award a contract to a qualified vendor in the metropolitan or nearby area of San Juan, Puerto Rico who can provide lodging, catering, and meeting space for an AmeriCorps*VISTA Training. AmeriCorps*VISTA is a federal program which places member in low-income communities to mobilize resources an increase the capacity of those communities to solve their own problems. The Early Service Training (EST) will occur November 5, 6, 7, and 2003. The group will check in on Wednesday, November 5, 2003 and checkout on Friday, November 7, 2003. We will need the following: Lodging Day 1, November 5:16 rooms for 1 night with 2 beds to accommodate double occupancy. Day 2, November 6: 74 sleeping rooms for 1 night with 2 beds to accommodate double occupancy, or Day 1: 12 sleeping rooms for 1 night in triple occupancy and Day 2: 52 with 3 beds to accommodate triple occupancy. The facility must comply with the American Disabilities Act and should be on the Hotel-Motel national Master List of FEMA/United Stated Fire Administration and should provide proof with their proposal. The facility selected should be able to accommodate up to 155 people for a group meal, a general conference room for 155, a breakout room for 55 and a breakout room for 38. The chosen vendor must be prepared to provide vegetarian or kosher meals if requested. Catering: Day 1, November 5, 1 morning coffee break, lunch and dinner for 34 people. Day 2, Nov. 6, Continental breakfast, morning coffee refresher, lunch, afternoon coffee break and dinner for 155 people and Day 3, Full American Breakfast, morning. coffee refresher, lunch and afternoon coffee break. For 155 people, based on these catering needs, proposals should include a per person cost per meal. Additionally, the facility should be able to hold 155 people (in rounds) and have at least 2 breakout rooms, one for 55 people and the other one to accommodate 38 all in rounds. All rooms (general session and breakout) should be set with #2 lead pencil, water service, and should be available from 8:00 a.m. to 9:00 p.m. Proposals must also include cost for parking. The specific requirements are as follows: Day 1 (November 5) a breakout room for 34 people 9:00 a.m.-5:30 p.m., Day 2 and 3 (November 6, 7) a registration area and (1) six-foot skirted table and (2) chairs. For participants arriving before check-in, an area should be designated for luggage storage. The general session room will be set in rounds for up to 155 people; audio visual needs should include a large projection screen, a cordless microphone and sound system. The breakout rooms set in rounds must accommodate up to 55 people and the other up to 38. The rooms must include a projection screen, a cordless microphone and sound system. The breakout and general session?s rooms should remain the same rooms throughout conference. Bid proposals must include the following information to be considered: 1) per night sleeping room rate for day in double occupancy or triple occupancy (per room), 2) cost per person for all catering due to our status as a federal corporation, we will only consider food cost which fall within the federal, per diem rates for your area, 3) charges for meeting space and audiovisual equipment NB.
