Description
The modification is to change the Classification Code to R. Professional, administrative and management support services. All other terms and conditions remain the same. Urban Meteorology Forum Developing Improved Hazardous Weather and Climate Predictions for the Urban Zone STATEMENT OF WORK Possible Dates April 19-22, 2004 (primary choice) April 26-29, 2004 (secondary choice) Location Washington, D.C. metropolitan area This Statement of Work is for a facility to accommodate an Urban Meteorology forum to include meeting space, food and beverage service, and audio visual requirements. This is a national forum in nature. The city of Washington, D.C., and its immediate environs. The conference must be held within the general Washington, D.C. area, not more than 15 miles from the Herbert C. Hoover Building, located at 14th and Constitution Avenue NW, Washington, D.C. The contractor should be within ? mile of a Metro station, and shall provide shuttle service. Office Space Required Approximately 700 sq. ft. of office space are required from the Monday evening before the forum starts until the end of the forum (approximately 4 days). The office space needed will be capable of being locked, have ample outlets for computers and printers, and have a dedicated modem telephone line and Internet access connection. Location of office space will be in close proximity of the General Session area and on the same floor. General Session Requirements A registration area is needed Monday evening through Wednesday (pre-function area is acceptable) and shall have ample outlets required to run computers and printers. Tuesday - Thursday: The General Session will start at 8:30 a.m. on Tuesday and will run through the morning break (approximately 10:30 a.m.) on Wednesday and requires 7500 sq. ft. of conference space set up in classroom style. Also required is a stage with lectern and a panel table to accommodate six (6) people. Seating arrangements should accommodate 240 people. On Thursday, the General Session will begin at 8:30 a.m. and conclude at approximately 12:30 p.m. And will require 7500 sq. ft. of space set up in classroom style. A stage with lectern and panel table(s) to accommodate 6 people. Seating arrangements should accommodate 240 people. On Tuesday afternoon, luncheon space is required to accommodate 240 people. The luncheon will take place from approximately noon until 1:30 p.m. The general session room can not be used for the luncheon. See the Food and Beverage Requirements section. On Tuesday evening, reception space (for an meet & greet) is required to accommodate 240 people. The meet & greet will take place from approximately 5:30 p.m. until 7:00 p.m. See the Food and Beverage Requirements section. General Meetings and All Purpose Rooms Requirements Wednesday: Six sessions will take place on Wednesday, beginning at 10:30 a.m. and ending at 5:10 p.m. The six sessions will occur as follows: (1) 2 sessions will occur concurrently from 10:35 a.m. to 12:05 p.m. Two more concurrent sessions are planned from 1:30 to 3:00 p.m. and the last two concurrent sessions from 3:30 p.m. to 5:00 p.m. Approximately 900+ sq. ft. is required to accommodate each session. Each room will be set up classroom style with a head table and A/V requirements needed to accommodate up to 120 people in each session. The General Session area can be used as one of the rooms. Food and Beverage Requirements Luncheon On Tuesday afternoon, the Contractor shall provide food and beverage service as necessary to accommodate 240 people for a luncheon. Evening Meet & greet Reception On Tuesday evening, the Contractor shall provide food and beverage service as necessary to accommodate 240 people for an evening meet & greet. Continental Breakfast and Breaks The Contractor shall provide food and beverage service as necessary, for the following: (1) continental breakfast Tuesday through Thursday, (2) mid-morning breaks Tuesday through Thursday which will require a refresh of the continental breakfast, and (3) mid-afternoon breaks Tuesday and Wednesday. Food and beverage requirements should accommodate 240 people. Audio/Visual (A/V) Requirements A/V requirements mandate an A/V company on site. A list of A/V requirements is attached.
