- Description
- It is the intent of The National Institutes of Health (NIH), National Institute of Diabetes and Digestive and Kidney Diseases (NIDDK) to procure a facility for two (2) days and one (1) night for the Intramural Fellows Scientific Retreat. The retreat will be held April 26, 2004 through April 27, 2004. The facility must have a meeting room to accommodate 170-220 people ? theater style with flexibility to convert to classroom style (with tables) ? approximately 2,200 square feet. We also need three (3) ?break out? rooms: Two (2) in very close proximity to each other, with a combined square footage of 3,000 square feet for posters that can ?tacked? to the walls.? approximately 40 of them 6 x 6, and one (1) for breakout meetings ? approximately 700-800 square feet. The facility also needs to provide an area or separate room with 4 tables and 8 chairs for retreat participants to check in at the beginning of the retreat with the Fellowship Office Staff. Sleeping rooms are to be for approximately 170-220 people ? but a facility which has chalets, villas or cottages for lodging are required to allow for informal scientific interactions. The meeting will start at approximately 9:00 a.m. on the first day of our arrival and end late afternoon (4-5:00 p.m.) on the second day. This shall also cover meals (lunch, dinner the first day with breakfast and lunch the second day) with a vegetarian and kosher style option for all meals. Three (3) breaks; afternoon the first day and morning and afternoon the second day are to include beverages and light refreshments. An evening reception on the 26th to include, hors d?oeuvres, soda and water are required. Miscellaneous items to be provided are tables, chairs, easels for all rooms and for check in. Microphones; free standing, hand held and lavaliere, LCD projector, overhead projector, podiums and a projector screen. The facility must be 75-120 miles from the NIH. The facility must be accredited by the International Association of Conference Centers (IACC) to ensure a required level of quality of the meeting space, lodging rooms, meals, etc. The facility must have adequate parking available for our 170 -220 guests on the premises. The facility must provide a conference planner to help in planning and coordinating the meeting. The facility must provide dedicated room (s) for meals where NIDDK will be the only guests there at the time. The rooms must accommodate all of our 170-220 guests simultaneously, or be divided into two groups located adjacent to one another and eating at the same time, but be separate from the meeting and poster rooms. The facility shall be located in a rural area. Interested vendors that are capable of providing the Government with the facility described above may request a copy of the Request for Quote (RFQ) in writing or by FAX to 301-480-4226 to the Contracting Office prior to the closing date of this notice. It is anticipated that RFQ NIH-NIDDK-04-178 will be available fifteen (15) days after the publication date of this synopsis. Receipt of quotations will be due ten (10) days after the release of the RFQ. The anticipated award date is March 5, 2004.
