REQUEST FOR INFORMATION ONLY This is not a solicitation for services. It is only a market research tool. Statement of Requirements for DFAS-Sponsored Food Services, Southbridge Hotel and Conference Center, Southbridge, Massachusetts The Defense Finance and Accounting Service (DFAS) is seeking interested vendors to provide catered food service for meals and breaks within the Southbridge Hotel and Conference Center, Southbridge, Massachusetts, whenever DFAS is in residence. The Agency requires both pre-planned and on-demand food services for a variety of DFAS training and conference events that are conducted at the hotel and conference facility each year. DFAS previously received food service support from the Southbridge in-house restaurant. The restaurant closed in December 2003, and therefore the Agency requires an alternate food service provider. The purpose of this RFI is to gauge industry interest and receive feedback in preparation for release of a Request For Quotation. Response must include a separate pricing estimate for each of the three types of food service listed below. The population to be supported will vary depending on the event but will generally be between 15-100 individuals. Vendors should be prepared to make food service available with or without the use of a full kitchen. The Agency is interested in obtaining three types of food service: 1. A standard ?package? of Basic Services (minimum requirement) 2. Additional ?a la carte? services, purchased as needed and priced separately 3. Banquet Services, purchased as needed and priced separately Examples of representative food and beverage items are included below to assist interested parties with the pricing strategy. The Government does not require premium fare or unique offerings. The Government is flexible in its menu requirements and desires to take advantage of bulk pricing and combination orders with other clients where possible. Requests for ?a la carte? items and Banquet Services will be coordinated in advance of the event to ensure the food service supplier will have sufficient time to accommodate the request. 1. Basic Services (Required): Package of Meal and Break Food Service for DFAS-sponsored events. Food service professionals provide three meals and two breaks for each business day DFAS attendees are in residence at Southbridge Hotel and Conference Center. Food service support will include delivery, service, clean up for meals and break service. A sample schedule and examples of representative food and beverage items are as follows: Breakfast, served from 6:30 a.m. ? 8:30 a.m. Breakfast food and beverages should include:  Low fat Yogurt, individual servings  Bagels  Donuts and/or Danish  Breakfast Sandwiches w/Eggs and Cheese  Hardboiled Eggs  Fresh Fruit (in season)  Regular and Decaffeinated Coffee  Regular and Decaffeinated tea  Orange, Grapefruit and Cranberry Juice  Bottled Water Morning Break, served between 9:30 a.m. ? 10:30 a.m. Morning break food and beverages should include:  Granola Bars and/or Coffee Cake  Fresh Cheese and Fruit (in season)  Regular and Decaffeinated Coffee  Regular and Decaffeinated tea  Regular and Diet Soda  Bottled Water Lunch, served between 11:30 p.m. and 1:00 p.m.  Variety of Deli Sandwiches (meat, cheese, and vegetarian) on whole grain bread or rolls  2 Soup Options ? One with Meat and the other meatless  Pre-made or ready-to- serve salads  Field Greens  Grilled Chicken  Pasta Salad, cold  Potato Chips and Pretzels  Regular and Decaffeinated Coffee  Dessert ? various; Cookies/Brownies, Pie or Cake  Regular and Decaffeinated tea  Regular and Diet Soda  Bottled Water Afternoon Break, served between 2:30 p.m. and 4:00 p.m.  Cookies or Pastry  Fresh Cheese and Fruit (in season)  Regular and Decaffeinated Coffee  Regular and Decaffeinated tea  Regular and Diet Soda  Bottled Water Dinner, served between 6:00 p.m. and 7:30 p.m.  Wrap Sandwiches (two varieties)  Salads  Soup ? one variety, not duplicate of what was served midday  Hamburger/Cheeseburger with Fries  Dessert ? Various  Regular and Decaffeinated Coffee  Dessert ? various; Cookies/Brownies, Pie or Cake  Regular and Decaffeinated tea  Regular and Diet Soda  Bottled Water 2. A la Carte Services (As needed). For events such as business celebrations (e.g., birthdays, award ceremonies) the provider should be prepared to furnish items such as cake and punch for DFAS personnel while they are in residence for DFAS events. Personalization of cakes may be required with names, dates, organizational logos, slogans, etc. 3. Banquet Services (As needed). Assuming adequate food preparation/heating requirements can be accommodated, DFAS may request one or more banquet (buffet line) meals. These will most likely be indoor dinners in the conference facilities, but outdoor BBQ-type events may also be requested. Sample Dinner Banquet.  Salad  Spinach  Greens (with dressing, separate or applied)  Jell-O/Fruit  Soup; One selection will suffice; should be different than Lunch Selection  Dinner Rolls/Butter  Entrees (Selection of Two*)  One Red Meat  One Chicken or Fish or *Hot Casserole May be Included as a Banquet Entr?e for a Multi-day Event  Vegetables (two)  Dessert: Cake or Pastry Pudding, Whipped or Souffl? Regular and Decaffeinated Coffee  Regular and Decaffeinated tea  Regular and Diet Soda  Bottled Water Management Reports. Vendors will be required to supply reports about utilization of services, as well as a summary of total Food Services conducted during the year. These reports would be used by DFAS to give a picture of overall food service experience at Southbridge for the workforce utilizing the facility and are essential for future program and Food Service planning. DFAS will sponsor surveys soliciting consumers regarding the quality and selection of the food service provider, and provide this feedback to the food service provider. DFAS Schedule of Events for 2003. The following is a listing of the 2003 DFAS events scheduled at the Southbridge Hotel and Conference Center with number of attendees.
