Description
The Drug Enforcement intends to issue a purchase order to the Biltmore Hotel for conference space rental. The Drug Enforcement Administration (DEA) is seeking facilities for two seminars. The proposal representing the best value will be determined by how closely the below stated requirements are met. Each seminar will have approximately 50 participants. With regard to guestrooms, the dates listed below represent check in and check out dates, i.e., May 4-5 refers to a three- night stay with a check in of May 3, and a check out of May 6. Approximately five guestrooms will be required for conference staff, who will check in on May 2, and check out on May 14. Responses must be received no later than April 15, 2004. HOTEL REQUIREMENTS FOR MAY 4-5, 2004, AND MAY 11-12, 2004 Conference Room 1. Hotel check in and check out: Standard Check in time: 3:00 (may require some flexibility) Standard Check out time: 12:00 noon (may require some flexibility) 2. May 4-5 and May 11-12, 2004 One amphitheater-style conference room which can accommodate a class of 50 individuals. The room must be equipped with a translation booth and have a large projection screen. Space must be sufficient enough for each participant to have their own workstation. Each workstation must accommodate a laptop computer, conference supplies, and provide individual access to high-speed internet. No other type of internet access is acceptable. In addition, the conference room must be serviced by its own computer server, separate from the hotel server, in order to adequately handle 50 simultaneous internet users, and the hotel must provide the proper connection cables which allows each of the 50 computer workstations access to the internet. Due to security requirements, the conference room must be reasonably soundproof, such that a raised (due to use of microphones) voice cannot be heard in adjoining conference rooms. Any adjoining conference rooms must be separated by a wall, not a divider. The room must be secured in the evenings after it is cleaned. 3. May 3, 6, 10, 13, 2004 Conference staff must have access to conference room utilized for seminar to set-up and tear down the necessary equipment. Food (A single catering package should be submitted that incorporates all of the following specifications): 4. AM/ PM set ups with a working lunch on May 4-5 and May 11-12, 2004: a. An area sufficient to accommodate 50 people must be provided for the working lunch. 5. DEA will host a foreign counterpart liaison reception for 50 people on May 4 ? May 5 and May 11 ? May 12, 2004: a. An area sufficient to accommodate 50 people must be provided for the foreign counterpart reception. Location/Transportation 6 The hotel must be within 10 miles from the Miami International Airport. Other 7. Audio visual, phone, fax, and copying services as needed. Include a price list for these services. A table three chairs and a phone will be required in the lobby on May 3 and May 10. Several telephones with outside lines will be required in the back of the conference room. 8. A complete listing of room charges of the previous day?s charges will be provided to a designated conference coordinator each day. A complete listing of guest room charges for DEA-sponsored participants (DEA will provide a list of names) will be provided to a designated conference coordinator each day. 9. Proposal will include a list of all contact persons at the hotel, e.g., General Manager, Sales Manager, Catering Coordinator, etc., and their phone numbers. This is an anticipated sole source requirement. This requirement will be awarded in accordance with the policies and procedures as set forth in FAR Subpart 13.106-1(b). No solicitation is available. Closing date is April 23, 2004.
