Description
NAICS Code: 5612 The U.S. Environmental Protection Agency's Office of Underground Storage Tanks (OUST) requires commercial services in accordance with Subpart 12.1. This combined Synopsis/Request for Quote (RFQ) for commercial services is prepared in accordance with Federal Acquisition Regulation (FAR) part 12.6 and supplemented with additional information included in this notice. The description of agency need is as follows: guest rooms, meeting rooms, audiovisual equipment, business center services and other services to be defined in the Statement of Work (SOW) of a hotel in: Seattle, Washington, Charleston, South Carolina, or, San Antonio, Texas area for its 17th Annual Underground Storage Tanks/Leaking Underground Storage Tanks (UST/LUST) National Conference. Support needed for this procurement includes the above requirements for the actual conference scheduled for three (3) days (Monday - Wednesday) plus pre- and post-conference meetings (Sunday - Friday) during March or April 2005. The estimated number of sleeping rooms per night is: Day 1 (Thu) 2 rooms; Day 2 (Fri) 2 rooms; Day 3 (Sat) 95 rooms; Day 4 (Sun) 310 rooms; Day 5 (Mon) 340 rooms; Day 6 (Tue) 300 rooms; Day 7 (Wed) 85 rooms; Day 8 (Thu) 20 rooms; Day 9 (Fri) 10 rooms. The meeting space requirements for the actual 3-day conference include, but are not limited to, one registration and literature area (400 flow); one office with storage space; 3 meeting rooms (40 hollow square); 3 main breakouts (150 chevron classroom or chevron classroom and theater mix); 1 main breakout (50 chevron classroom); 1 plenary (500 theater); 1 luncheon with presentation (350 rounds); 20 tabletop exhibits with 10 poster stands (300 flow). This Synopsis/RFQ does not include food and beverage. EPA has a non-federal partner that will procure the food and beverage from the selected hotel. Proposals from Travel Agencies, Site Selection Services, and Meeting Planning Services will NOT be considered. MANDATORY REQUIREMENTS: The hotel must 1) be in compliance with the Hotel and Motel Fire Safety Act of 1990,15 U.S.C. 2201 et seq., (Public Law 101-391) and hold a FEMA certification number; 2) be in compliance with the Americans with Disabilities Act, 42 U.S.C. Section 12101 et seq., (ADA); and, provide onsite recycling of recyclable materials during the conference. HOW TO ACQUIRE A COPY OF THE RFQ: EPA has posted the RFQ on the following website: http://www.epa.gov/oam/srpod/index.htm. This is not a small business set-aside requirement but a full and open competition, using simplified acquisition procedures. The associated NAICS code is 5612. All responsible hotels in the Seattle, Washington, Charleston, South Carolina, or, San Antonio, Texas area may submit a quote to be considered by EPA. EPA anticipates awarding the contract at the end of August 2004.
