Description
Sources Sought The U.S. Department of State, Office of Multi-Media Services (MMS), is currently responsible for approximately 1,000 copy machines of various makes and models throughout the Department. Copy volumes range from 2,000 copies per month up to 100,000 copies per month on equipment manufactured by Canon, Danka, Kyocera, Oce, Panasonic, Ricoh/Savin, Sharp, Toshiba, and Xerox. The bulk of MMS? copiers are in the Washington, DC Metropolitan area, with other equipment located in: Baltimore, MD; Barryville, VA; Boston, MA; Charleston, SC; Chicago, IL; various Connecticut locations; Honolulu, HI; Houston, TX; Los Angeles, CA; Miami, FL; New York, NY; various New Jersey locations; Philadelphia, PA; Portsmouth, NH; San Francisco, CA; Seattle, WA; and Warrenton, VA. The Department is looking for vendors capable of: - Leasing new copy machines as current leases expire or Government-owned equipment is replaced; - Providing preventative and remedial maintenance for leased and Government-owned equipment; and - Furnishing all associated consumable supplies (paper excepted) to the Department. Vendors must be able to perform the above tasks in accordance with the following: LEASING: The vendor must be able to provide a variety of models of one or more of the following brands to the Department of State on a lease-to-own basis: Canon, Danka, Kyocera, Oce, Panasonic, Ricoh/Savin, Sharp, Toshiba, and Xerox. The vendor must be capable of furnishing copier models appropriate for a given volume of copies. Volumes range from approximately 2,000 copies per month in some offices up to 100,000 copies per month in other offices. The vendor must also be able to provide on-site training to key Department operators for all equipment it leases to the Department. MAINTENANCE: The vendor must be able to provide maintenance for a large number of copy machines (up to 1,000). At a minimum, the vendor should be capable of providing maintenance to all copiers it leases to the Department, as well as to some equipment owned directly by the Government. The vendor must have a plan to ensure that all copiers covered by a maintenance plan are checked periodically and maintained in good working order. Additionally, the vendor must be capable of providing remedial maintenance, responding to service calls within a few hours? time of their receipt and quickly repairing the problem. The vendor must also be able to respond to sporadic emergency calls on nights, weekends, and holidays. Should equipment covered by a maintenance plan suffer chronic break-downs or remain in an inoperable state for any length of time, the vendor should be capable of executing contingency plans to prevent excessive production ?down time.? The vendor must be qualified to provide maintenance to at least one of the above-named equipment brands. To be considered qualified for a given brand, the vendor must be certified by that brand?s manufacturer, as well as possess relevant experience. SUPPLIES: The vendor must be capable of furnishing all consumable supplies (excluding paper) for all equipment it maintains. The vendor must be able to provide these supplies to each machine at regular intervals, ensuring that any given machine always has enough supplies on hand (given that machine?s particular production level) for continued use. If you are capable of providing leased equipment, maintenance, and associated supplies to at least one of the MMS equipment locations listed above, please send a capabilities statement to the Department of State. Your statement must include: - An outline explaining how your firm is capable of providing the above services; - A summary of your firm?s qualifications; - A copy of manufacturer?s certification(s), stating your firm is duly qualified to perform maintenance of that particular brand/brands of equipment; - Past performance information detailing the relevant experience of your firm and its personnel in providing similar services on a large scale; - Any facility security clearance held by your firm, as well as individual security clearances held by your personnel; - Price lists/catalogs for leasing copiers of various production volumes (including formulas used to calculate price should the Government opt to purchase leased equipment); - Price lists/catalogs for providing maintenance to copiers of various production volumes; - Price lists/catalogs for furnishing all related consumable supplies (excluding paper); and - Any applicable GSA Supply Schedule information, including your GSA contract number(s) and the GSA Schedule and Special Item Number(s) covered by the contract(s).
