Description
The Corporation for National Service is an agency of the United States Government responsible for the administration of national and community service programs. The AmeriCorps*VISTA department is in need of a facility that can provide conference space, lodging space, AV and meals in order to conduct an AmeriCorps*VISTA Continuing Development Training for 90 individuals who are serving with the AC*VISTA program in communities across the Southeastern United States. Attendee count may be plus or minus 20% based on recruitment. Event Dates are as follows: 8-10 Nov. 2004 (CDT) Training events will be conducted in the downtown/airport area Atlanta, GA. Only those venders in the Atlanta Airport or Downtown Areas of Atlanta, GA need to respond to this solicitation. This solicitation will be based on availability of funds and events may be deleted based on recruitment efforts of the AC*VISTA program. Please refer to Solicitation # CDTNOV04 Vendors must be registered with Dun & Bradstreet as well as the Central Contractors Registration. Vendors who are not registered WILL NOT be considered for this solicitation. Sleeping Rooms: 45 Double Occupancy Sleeping Rooms Day 1 & 2 of the event. 10 Single Occupancy Sleeping Rooms Day 1 & 2 of the event. Meeting Space (Meeting rooms and at least 20% of sleeping rooms must be accessible to physically challenged individuals). General Session 2 rectangle tables at front of general session room each day for presenter materials; Day 1 of event, set for 90 attendees in rounds of eight 2:00am-3:00pm; Day 2 of event, set for 90 attendees in rounds of eight 8:00am-5:00pm; General session is not needed for Day 3 of event Breakout Rooms 1 rectangle table at front of the breakout room each day for presenter materials; 5ea- Day 1 of events set for 32 attendees set in rounds eight from 8:00AM-6:00PM; There will be a 24 hour hold on all meeting space Office or Boardroom needed: Day 1 of event Day 2 of event Day 3 of event Meals (At least 20% of all attendees at meals will be vegetarians, vegans or special needs). AM Breaks should include coffee, team refresh; PM Breaks should include coffee, tea, soft drinks, and light snacks. All meals should be served in a space other than meeting space. Full Breakfast for 90- Day 2 of event -7:00am-8:30am; 90- Day 3 of event -7:00am-8:30am AM Break for 90- Day 2 of event-10:00am-10:30am; 90- Day 3 of event -10:00am-10:30am; Lunch for 90- Day 2 of event-12:00pm-1:00pm; 90- Day 3 of event-12:00pm-1:00pm; AM Break for 90--Day 1 of event-3:00pm-3:30pm; 90--Day 2 of event-3:00pm-3:30pm; Dinner for 90--Day 1 of event -6:00pm-7:30pm; 90--Day 2 of event -6:00pm-7:30pm; Volunteer Transportation- Shuttle service from area airports needed on first and last days of events. Please include prices for parking and shuttle service. Miscellaneous Items-please include prices for the following:Phones, faxing, copying, needed by CNCS staff. Audiovisual Equipment needed: Message board needed throughout conference dates; Six large tables, trash can, telephone and a message should be set up in the assigned registration area starting at 5:00pm the day prior to the event and remaining there until conference conclusion. Flip chart stands (flip chart pads not needed)1- Day 1 of event in the registration area; 10 stands on day 2 of event - 1 in registration area and 3 in each breakout room; 10- Day 3 of event - 1 in registration area and 3 in each breakout room Overhead projector and screen 6 x6 needed are: 3- Day 2 of event -1 in each breakout room; 3- Day 3 of event -1 in each breakout room; Microphones needed: 1 on Day 1 of event -in general session (1 wireless hand held and 1 wired);1- Day 2 of event -in general session (1 wireless hand held and 1 wired);1- Day 3 of event -in general session (1 wireless hand held and 1 wired). Sound Mixer needs: 1- Day 1 of event -in general session; 1- Day 2 of event -in general session; 1- Day 3 of event -in general session; VCR needs: Days 1 and 4, in general session only. Include AV Setup charges if any. LCD Projectors needed: Days 1, 3 and 4, in designated meeting rooms; Telephone with line each day of event This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-27. The NAICS Code for this requirement is 721110 and the small business size standard is $5M. The provisions at 52.212.1, Instructions to Offerors-Commercial, applies to this acquisition. Offerer must include a completed copy of the provision at 52.212-3. Offerer Representations and Certifications-Commercial Items with this offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. The clause 52-212-4, Contract Terms and Conditions-Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required to Implement Statues or Executive Orders-Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the prosperer with the Government and sent to the address in this announcement. Bids should be submitted to the Contract Specialist no later than COB November 1, 2004. Any proposals received after the due date will not be considered. Only facilities within Atlanta, Ga. metropolitan area need apply.
