Description
The Social Security Administration (SSA) intends to negotiate on a sole source basis with the Renaissance Harborplace Hotel, 202 East Pratt Street, Baltimore, MD 21202 under Simplified Acquisition procedures and to issue an order to the hotel for meeting rooms, refreshments, etc. for SSA?s National Public Affairs Training Conference to be held April 11-15, 2005. An estimated 220 individuals will be attending this conference. SSA will require approximately 185 sleeping rooms for the period April 11-14, 2005. The conference space will include one large ballroom and 10 breakout rooms that will accommodate 220 attendees. In addition, SSA requires exhibit space for twenty 8?x10? booths. SSA will also require the hotel to provide during the conference continental breakfast, light refreshments for morning and afternoon breaks, and one lunch for all participants. The dates and location of this conference are restricted to April 11-15, 2005 in Baltimore to accommodate SSA?s Commissioner and staff. SSA has researched hotels in the Baltimore area based on the requirements stated above. No other source is known to SSA that is capable of supplying the required rooms and space for the given timeframe in Baltimore. Any source submitting a written response to this synopsis shall include in its response to this notice sufficient documentation to establish a bonafide capability to fulfill the requirement, including compliance with the Hotel and Motel Fire Safety Act and the Americans with Disabilities Act. A SOLICITATION IS NOT AVAILABLE. Interested parties that believe they can provide the required service must respond to this notice no later than November 26, 2004. Responses shall be emailed to andrew.klimas@ssa.gov or mailed to the Social Security Administration, Office of Acquisition and Grants. Attn: Andrew Klimas, Office of Acquisitions and Grants,G-C-7 East High Rise Building, 6401 Security Blvd., Baltimore, Md. 21235, with delivery to SSA of the emailed or mailed response no later than November 26, 2004. FAXED RESPONSES WILL NOT BE PERMITTED. A determination by the Government not to compete this requirement is solely within the discretion of the Government. Information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. The Government will not pay for any information submitted. Requests for copies of a solicitation in response to this announcement of intent to negotiate with the Renaissance Harborplace Hotel for this requirement will not be honored or acknowledged.
