- This is a SOURCES SOUGHT SYNOPSIS. THERE IS NO SOLICITATION AVAILABLE AT THIS TIME. REQUESTS FOR A SOLICITATION WILL NOT RECEIVE A RESPONSE. This SOURCES SOUGHT synopsis is in support of a market survey. AFOSR seeks potential sources to provide the below services under one contract for the Arlington, VA location. Potential sources should provide a capability statement to include such items as: Company name & address, size status, disadvantaged business status, if any, business status, GSA schedule information. Background: The Air Force Office of Scientific Research (AFOSR) manages the Air Force’s investment in basic research. To support AFOSR’s mission, the organization needs to facilitate the interaction and exchange of information between AFOSR Program Managers, AFOSR sponsored contractors/grantees, researchers in Air Force/Department of Defense laboratories and researchers in academia/industry. To accomplish this AFOSR requires contractor support to assist the Government Program Manager in providing conference support. Specific support requirements herein describe the specific types of expertise required. Please visit our public website at http://www.afosr.af.mil/ for additional agency information. Conference Support: Provide a one-stop-shop for organizing, planning, and executing special events, meetings, conferences, program reviews, scientific symposia and workshops. Services will include: • Event Pre-Planning. Investigate and propose possible formats, dates, topics, speakers, locations, and budgets. Coordinate the arrangements for the speakers, the venue, the materials, and transportation and associated fees, including: obtaining speaker biographies and copies of relevant topic papers; providing for catering, seating, and parking; providing for block of sleeping rooms (as necessary) for the attendees; as well as coordinating preparation and reproduction of event agenda, event promotion, invitations, announcements, biographies, name badges, speaker papers, anticipate attendee list/database. • Make support services costs payments to venues that assist in running meetings/special events/conferences. This includes meeting facility, audio-visual equipment, refreshments, meals, social activities and meeting materials. Collect and establish reasonable registration fees. • Execution. Ensure a successful implementation of the event that shall include, but not be limited to: providing on-site registration and administrative support, event security to the extent of monitoring access points, receiving appropriate Security and Policy Review Case numbers/paperwork for all briefings/presentations/meeting materials, making reimbursable payments for event related costs (e.g., honorariums, travel expenses, and venue). • Post-Event Wrap Up. Produce and distribute CDs/DVDs and/or a proceedings book of all approved post-event materials, including, but not limited to attendance lists, papers, biographies, and related documents. • Submit a Program Review/Conference/Special Event Summary Report after each event to include a narrative summary, lessons learned, and financial summary of the event. Contractors must establish a website for conference registrations and have the capability to accept credit cards for participant registration. Estimated number of conferences will be 4 to 48, as many as four occurring concurrently. Participants at each conference will be between 5 and 250. Any information submitted by respondents to this synopsis is strictly voluntary. The Government will not pay for any information that is submitted by respondents to this SOURCES SOUGHT request.
