- NAICS Code: 721110 Solicitation for a Conference Facility and A/V Equipment for the National Estuary Program's National Meeting. The U.S. Environmental Protection Agency intends to make an award for a full-service Conference Facility for the 2006 NEP National meeting to be held March 6-9, 2006. The hotel providing these services shall be located in the Washington, D.C. area within walking distance of a Metro Station. The facility shall be able to provide the services listed below: Meeting Room Rental (7:00am -8:00pm each day) March 6-8, 2006: 2 Large Conference Rooms in close proximity to each other (1) 130-person capacity room (1) 60-person capacity room March 9, 2006: 1 Large Conference Room (1) 130-person capacity room Room set-ups shall include ice water, glasses, pads and pens on each table for each place setting. The facility shall also include (2) registration tables, (5) display tables, (1) riser large enough to accommodate a 10-person panel for the larger conference room, (4) flip charts with easels and markers for each room and (1) podium for each room Audio/Visual Equipment Rental March 6-8, 2006: 2 Computer Packages (1) Laptop located adjacent to the podium with Microsoft Office Suite and Real Player software. (1) Color LCD projector, VGA (1) Projection cart/stand (1) Tripod projection screen (1) Laser pointer (1) Overhead pointer All necessary cables, extension cords, power strips, etc. 1 Microphone Package (1) Podium microphone (2) Wireless UHF HH microphones (1) Wireless UHF Lavaliere microphone (1) ea. 16-Channel stereo mixing console March 9, 2006: 1 Computer Package 1 Microphone Package Break Items March 6-8, 2006: Continental Breakfast for 130 people including a selection of chilled juices, a bakery display with muffins, Danish, sweet butter and preserves, seasonal fruits, and coffee service with regular and decaffeinated coffee, tea and flavored creamers. Mid-Morning Snack for 130 people including coffee service, assorted soft drinks and bottled water. Afternoon Snack for 130 people including assorted fruit juice, sodas and bottled water. Fresh fruits, nuts, power bars, cookies, etc. March 9, 2006: Continental Breakfast for 130 people. Mid-Morning Snack for 130 people. March 6-9, 2006: Two working lunch events for 130 people. Either a buffet or boxed lunch style service would be acceptable, but entrees must be included in the menu to accommodate vegetarians as well as non-vegetarians. Guest Room Accomodations March 5-9, 2006: 75 rooms March 1-, 2006: 10 rooms The hotel will hold the following block of rooms for EPA's use. The hotel will not be responsible for guaranteeing any particular rooms nor does it guarantee that rooms will be in proximity to each other. Check in time will be 3:00pm and check out time will be 12:00pm. The North American Industry Classification number for this solicitation is 721110. A Request for Quote (RFQ) letter will be made available to all interested parties. Any vendor that believes it is capable of meeting EPA's requirement as stated herein may submit a response, which if received in 15 calendar days will be considered.
