- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The following requirements are to be met: STATEMENT OF WORK Senior Leaders Forum Spouses Course 1. Rooms a. 5 suites from 17 Aug 2005 to 19 Aug 2005 b. 50 double rooms from 17 Aug 2005 to 19 Aug 2005 c. 50 singles rooms from 17 Aug 2005 to 19 Aug 2005 i. Arriving afternoon on 17Aug2005 (Wednesday) with early check for selected personnel. A list will be given to hotel at the earliest possible notice. ii. Departing late afternoon 19Aug2005 with late checkout. List of late checkouts will be provided to hotel as soon as possible. d. 20 rooms (singles) from 16-19Aug2005 with breakfast e. 80 rooms (singles) from 14-19Aug2005 with breakfast 2. Meal Service The meal service shall include the following. a. Breakfast buffet for 150 principal guests: Breakfast will be provided in the hotel restaurant for two days on 18 and 19 August 2005. The breakfast will be buffet style and served 0630-0830. Breakfast shall include as a minimum assorted juices, seasonal fruits, assorted breads, cereals, yogurts, c heeses, cold meats, butter, jams, breakfast potatoes, and eggs. Unlimited decaffeinated and caffeinated coffee and a variety of teas shall be included in the breakfast meal. b. Breakfast buffet for the support staff: Breakfast will be provided in a private room separate from other guests. The breakfast will be buffet style and served from 0600-0900. Breakfast shall include as a minimum assorted juices, seasonal fruits, assorted breads, cereals, yogurts, cheeses, cold meats, butter, jams, breakfast potatoes, and eggs. Unlimited decaffeinated and caffeinated coffee and a variety of teas shall be included in the breakfast meal. c. Lunch buffet for 150: Lunch will be provided in the hotel restaurant on two days 18Aug at 1145-1300 and 19Aug at 1245-1345. The chefs selection of menu will consist of soup, salad, a minimum of two entr?es (from beef, poultry or fish groups), assorted vegetables, potatoes, rice or noodles, bread/rolls with bother, and assorted desserts. Unlimited caffeinated and decaffeinated coffee and teas shall be included in the lunch meal as well as one non-alcoholic drink with meal. d. Dinner meal: Dinner on 17Aug will be a formal 4-course dinner with sit down service. The meal will consist of salad, soup, assorted breads with butter, assorted entr?es (one specifically vegetarian), vegetables, potatoes, a nonalcoholic beverage, coffee and dessert. Supplemental drink service at the tables shall be available on a pay-as-you-go basis. The meals shall be held in a private dining room using dedicated personnel. 15-16 tables will be setup with 10 persons per table in accordance with the room configura tion for 150-160 people. A prominent head table with seating for 10 people shall be provided. White table clothes accented with fresh cut or live flowers shall be provided. The banquet meal shall be served in Vaihinger Saals II-V. The first course will be on the tables when the guests arrive at their seats at 2000. Dinner will conclude at 2200. e. Coffee breaks: Morning and Afternoon Coffee breaks for the conference participants shall be included in the conference package for 1.5 days. These breaks are considered to be an integral part of the conference program. The participants must attend all sessions of the conference in order to accomplish the overall goals of the program and participants are not allowed to take coffee breaks anywhere else other than in the conference area. Providing coffee breaks saves time that can be allocated to additional sessions and course material. The c offee breaks also provide an opportunity for more open discussion. Without this oppor tunity, formal workshops have to be added to the schedule, thereby reducing the course material that can be covered. As such (1) the coffee break are incidental to the conference sessions; (2) attendant at the conference session, which include coffee brea ks, is necessary for full participation in the program; and (3) participants are not free to take coffee breaks elsewhere without being absent from the essential business of the conference program. Coffee breaks are as follows: 18Aug 1015-1045 & 1430-1500. 19Aug 0930-0955 and 1055-1125. 3. Conference Support: a. Conference Rooms 1 Room to accommodate 150 persons in parliamentary setup (used only during the day) for two days from17-19August. 1 Room to accommodate 150 persons for a formal dinner with a banquet style setup. (Can be the same room as above) for one evening 17August. 1 Room in a parliamentary setup for 30 persons for 1 day on 17 August from 1530-1700. 1 private meeting area to accommodate 2 persons for 2.5 days with desks and chairs. 1 Room to accommodate 40 persons in a parliamentary setup for a 2-hour period on 18Aug from 1330-1530. 4 individual meetings rooms with a minimum size of 35m2. The main conference will take place in one conference. The configuration shall be parliamentary style for up to 142 people (principals and spouses). Each participant must have as a minimum, a chair, and an individual writing surface. The spouse conference room, Vaihinger Saals I & II shall be configured in classroom style 3 table rows on window side and 2 table rows on door side to fit 50 persons. All conference rooms will be clean and presentable. Conference rooms will be used from 17-19Aug2005 but should be available no later than the morning of 15Aug for setup. b. Audiovisual Support A/V support shall include the following: overhead projector with screen that allows for clear visibility from the entire room, a butcher paper style flipchart with assorted pens and a pointer, a podium with a lighted paper rest / reading platform. c. Administrative Room 4 small conference rooms will be available from 14-19 August. They are the designated Admin/VISE Media 5th conference room will be the designated GOMO room (for two people) and available starting the morning of 17August to 19 August. Please provide water and coffee/tea selection in this room. d. IMO Room Coordination will be done with Telekom to provide the necessary lines as needed. The hotel will be involved in all coordination. Contractor must have keys and access to the IMO room. e. Liability for Charges: The contractor acknowledges that item of a personal nature, including telephone calls made from an individuals room, laundry, room service, bar tabs, and accommodations and meals for family members not included under contract, will be the responsibility of the individual participant and the not the U.S. Government. Only Hotels in the Stuttgart area will be considered for this requirement. Hotels will be screened for security and all offerors must be rated with, at leat, 4 Michelin stars
