- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Anticipate award to Morale Welfare and Recreation's Edelweiss Lodge and resort for the following requirement: STATEMENT OF WORK 1. ROOMS AND TIME PERIOD. The Contractor shall provide the following rooms with full board: 15 (Fifteen) EACH DOUBLE ROOMS, and 2 (Two) EACH SINGLE ROOMS, for the period of 8 Sep through 10 Sep 05: Two (2) overnights 2. ACCOMODATIONS. a. Rooms: Accommodations will be double and single occupancy and located in the same building as the conference facilities. Each room will have adequate ventilation and at least one working window. The accommodation will have a full bathroom (toilet, s ink, and shower or bathtub) in the room. Each double room will have, as a minimum, two single beds, a chair, and a desk or table with a writing surface; each single room will have, as a minimum, one single bed, a chair, and a desk or table with a writing surface . In addition, all rooms will have a telephone and either a functioning radio or television. All rooms will receive full maid service (routine cleaning and changing of towels) daily. b. Meal Service: The unit price for each bed night in the hotel will include three full meals per day. Meal service will begin with the evening meal on the first day of occupancy and end with a sacked lunch on the day of departure. c. The meal services shall be available at the following times: Morning Meal: 0700 to 09:00 hours Noon Meal: 12:00 to 14:00 hours Evening Meal: 18:00 to 20:00 hours d. At least one non-alcoholic beverage will be included with each meal. Coffee, tea, fruit juices and soft drinks are considered acceptable beverages. In addition, water will be available at all meals. e. Meals may be serve buffet style or with table service. Each meal must be completely served within the serving times stated above. The hotel dining room must be in the same building as the conference facility and large enough to accommodate all conference participants for each meal at one sitting. f. The morning meal, as a minimum, will consist of: (a) Assorted juices (b) Bread products (c) Eggs (d) Butter (e) Cereals, cheeses, cold meats, jams, seasonal fruits, unlimited coffee, tea and milk g. The noon meal, as a minimum, will consist of: (a) Soup (b) Salad (c) An entr?e at least two choices will be available from the beef, pork, poultry and fish groups (d) Some type of vegetable (e) Potatoes, rice or noodles (f) Bread or rolls with butter (g) Dessert (h) Noon meals will differ each day and for each meal (i) Alcoholic beverages will not be provided with meal service h. The evening meal, as a minimum, will consist of: (a) Soup (b) Salad (c) An entr?e at least two choices will be available from the beef, pork, poultry and fish groups (d) Some type of vegetable (e) Potatoes, rice or noodles (f) Bread or rolls with butter (g) Dessert (h) Evening meals will differ each day and for each meal (i) Alcoholic beverages will not be provided with meal service 3. CONFERENCE SUPPORT. The contractor shall provide the following conference rooms and support at no additional cost: a. 1 (one) each MEDIUM CONFERENCE ROOM with tables and chairs for thirty people. NOTE: TELEPHONE NOT INCLUDED b. The medium conference room shall be available from 0600 to 2300 hours daily, throughout the conference. The medium conference room will be configured so that each of the thirty participants has a chair and writing surface (table). This room must b e available from 1200 hours on 8 Sep 05 until 1100 hours on 10 Sep 05. This roo m may be used for storage of conference materials and must be lockable. Access to photocopy machine and fax machine is NOT INCLUDED. e. AUDIOVISUAL SUPPORT: The medium conference room shall have audiovisual support that must include: a public address system which includes a microphone mounted on a podium with a paper rest or reading platform and reading light on the podium; an overhead (PROXIMA) projector; a large screen that allows for clear visibility from the entire r oom; television/VCR; and sufficient electrical outlets or extension cords for use with additional equipment; and other audio-visual equipment as may be required. Note 1: All of the above described conference room support is required for 3 days from Thu (8 Sep 05) through Sat (10 Sep 05). Note 2: Liability of charges: All items of personal nature, including telephone calls not of an official nature, laundry, room service, bar tabs and any other personal expenses, shall be the responsibility of the individual participant and not the US Gover nment. 4. OTHER REQUIREMENTS. a. Parking: Hotel Parking shall be provided at no charge. The parking area must be within 150 meters of at least one of the guest entryways. The parking areas must be large enough to accommodate at least 32 vehicles. b. Security: The contractor will give US Government security personnel reasonable access to hotel rooms, areas, and grounds before and during contract performances. High-ranking Department of Defense civilians and/or General Officers may be in attenda nce and may require special security measures.
