ALSO, THE RESPONSE DATE HAVE BEEN CHANGED TO NOVEMBER 21, 2007. ALL PREVIOUS INFORMATION AND REQUIREMENT REMAINS THE SAME. THIS IS A SOURCES SOUGHT SYNOPSIS IS FOR WRITTEN INFORMATION ONLY. THIS IS NOT A SOLICITATION ANNOUNCEMENT FOR PROPOSALS AND NO CONTRACT WILL BE AWARDED FROM THIS ANNOUNCEMENT. In preparation for a future procurement, the Environmental Protection Agency (EPA) is performing a ?market research? to determine potential sources. The EPA Office of Acquisition Management (OAM) and Office of Superfund Remediation and Technology Innovation (OSRTI) has a requirement for a hotel that can provide the necessary services for a conference that will require guest rooms, meeting rooms, audiovisual equipment, light refreshments, business center services and related services of a quality hotel in the San Diego, California area. The Conference will be held for approximately three (3) days during July 11-13, 2006. However, EPA?s conference committee would be arriving on Sunday (Day 1). EPA would request a meeting day (Day 2) before the conference to ensure all logistics are satisfactory. The estimated number of sleeping rooms per night are as follows: Day 1 (Sun) 6; Day 2 (Mon) 100; Day 3 (Tues) 100; Day 4 (Wed) 100; Day 5 (Thur) 100 The hotel must be able to provide meeting space requirements for the 5 days. The overall conference requirements shall include, but are not limited to, one registration desk, one general (plenary) meeting room (classroom style) for a flow of up to 100, refreshment space for a flow of 110, six breakout rooms hollow square for approximately 15-30 people, reception room for a flow of 100. The hotel must 1) be in compliance with the Hotel and Motel Fire Safety Act of 1990, 15 U.S.C. 2201 et esq., (Public Law 101-391) and hold a FEMA certification number; 2) be in compliance with the Americans with Disabilities Act, 42 U.S.C. Section 12101 et esq., (ADA); 3) have one of the following ratings: First class or higher per the Official Hotel Guide; three crowns or higher per the OAG Business Travel Planner; three diamonds or higher per AAA; or two stars or higher per Mobil Travel Guide. THIS IS NOT A REQUEST FOR TECHNICAL OR COST PROPOSALS. This is a request for interested hotels to submit a brief capability statement demonstrating how they meet the above requirements. Limit your submission to no more than 2 pages. Standard brochures will not be considered as a sufficient response to the Sources Sought Synopsis. The capability statements should include the following: 1. Name of Hotel (contact person, e-mail, phone number) 2. Location of Hotel 3. Availability for Week of July 10, 2006 4. Guest Rooms (Government rates availability) 5. Meeting Rooms Availability 6. Audiovisual Equipment Availability 7. Business Center Services 8. Light Refreshment Availability 9. Additional Features and Amenities Businesses should submit an electronic copy of the requested information to:Thurman.Joan@epa.gov no later than November 21, 2006. All information regarding this procurement will be posted on the Worldwide Web site at the following address as it becomes available: http://www.epa.gov/oamsrpod/pmrcsc/poco/index.htm How to acquire a Copy of the STATEMENT OF WORK (SOW): EPA has posed a copy of the SOW which provides details of the rooms and services required by the EPA, the instructions for submitting a quote, and how the quotes will be evaluated. The applicable NAICS code is 721110. The size standard is $6 Million. Based upon currently available information, the Government does not anticipate fulfilling this requirement through a small business set-aside. The ultimate method of competition will be determined after all responses to this Sources Sought notice have been evaluated. EPA anticipates awarding a purchase order to fulfill this requirement on or about January 20, 2006.
