- The purpose of this modification is to extend the deadline to 6 DEC 2005, 5pm CST. All other information remains the same. Questions and Answers ’05 Band Holiday Audio/Visual Synopsis/Solicitation 29 Nov 2005 Q. 1) What audio requirements outside of coordination is the responsibility of the contractor? Do I need to include audio equipment and/or personnel in the bid? A. No audio requirements Q. 2) Can you please explain in detail what video equipment is needed. Will the show be broadcasted on Projection screens? Is the show going to be recorded for DVD future posting? Do I need to provide Videographers? Do I need to include projections screens in my cost? A. Video equipment is not needed, but contractor will provide truss/flying support for 48 panel Daktronics LED video screen. This show will be recorded for DVD production, with videographers provided by the USAF. The projection screen will be provided by Daktronics of Brookings, SD. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Federal Acquisition Regulation, Part 12. This announcement constitutes the only solicitation; quotations are being requested and a WRITTEN SOLICITATION WILL NOT BE ISSUED. Quotes are due to the 55th Contracting Squadron no later than 5pm (CST) Tuesday, 6 Dec 2005. Quotes shall be submitted via e-mail in a Word, Excel, or PDF format to alecia.fay@offutt.af.mil or via fax to (402) 294 7280 . The solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular 2001-26. The North American Industry Classification System (NAICS) code is 532490 and small business size standard is $6,000,000. The government intends to issue a purchase order for the services and/or items set forth below: Statement of Work (SOW): STATEMENT OF WORK Heartland of America Band Lighting/Video requirements for: 12-18 DEC 2005 Holiday Concert Holland Center 1. Description of Services Vendor must be an established video/lighting provider and will coordinate audio/video requirements with Heartland of America Band Production NCOIC. 1.1 Vendor shall provide: QTY Description 5 12" x 12" x 10' UT Truss 1 HOG IPC 1 Data Lynx Backup 10 Studio Spots 575 CMY 3 CM-1 Ton Chain Hoist 1 Rigging Package 1 4ot Feeder Package 1 Multi Package 1 Control Snake Package 1 Master Electrician (7 Days) 1 Lighting Programmer (7Days) 1 Trucking 1 WYSIWYG (Pre Programming-15 hrs) Air Force/Holland Center to provide 4 stage hands and 2 riggers (1 up and 1 down) 1.2 Vendor shall provide own transportation and movement of required personnel/equipment. 1.3 Vendor shall be available for production assistance and system coordination at preliminary production meetings with the Heartland of America Band (Must be available on 12-18 Dec, exact times TBD). 1.4 Vendor will coordinate with Holland Center POC to evaluate provided lighting system and implement contracted lighting package into provided lighting system. Holland Performing Arts Center POC: Buck Weyerman 402-345-0202 1.5 Vendor shall provide all professional and trained personnel and equipment necessary for setup, strike and run of equipment. 1.6 Vendor shall provide trained professionals for WYSIWYG pre-programming. 1.7 The vendor will adhere to the following itinerary, subject to change by the Heartland of America Band: 12DEC05 AM Production Team and video/lighting vendor report to Holland Performing Arts Center AM Video/lighting load-in NOTE: Vendor will have adequate personnel on hand all day for changes in lighting design and troubleshooting. PM Production set-up EVE Sound Check/Rehearsal 13DEC05 AM Tech-dress reh with lighting/video/audio/production PM Technical run-through w/lighting designer EVE Sound Check/Rehearsal 14DEC05 AM Technical dress rehearsal PM Full concert dress rehearsal EVE F concert dress rehearsal 15DEC05 AM Performance EVE Performance 16DEC05 EVE Performance 17DEC05 PM Performance EVE Performance 18DEC05 PM Performance PM All Load-out 1.8 All lighting/video production shall be accomplished in accordance with the best commercial practices. 1.9 Vendor shall be responsible for making all meal, travel and lodging arrangements and shall be responsible for all associated expenses. 1.10 Vendor will provide any needed gels and gobos for all lighting fixtures. 2. Acceptable Equipment List for Lighting and Video: See HOAB Lighting/Video Rental Holiday 05-Holland Center or above listing: 2.1 Substitutions to the above equipment list shall be presented for approval to the Air Force Band Production Manager via a detailed list. 3. Minimum Qualifications of Personnel. The contractor shall meet the minimum qualifications as identified below: 3.1 Only qualified personnel specially trained for professional lighting systems, multiple stream video may be used for this production. CONTRACTOR MUST BE REGISTERED IN CENTRAL CONTRACTOR REGISTRATION (www.ccr.gov) AND HAVE A CURRENT PROFILE IN THE ONLINE REPRESENTATIONS AND CERTIFICATIONS (http://orca.bpn.gov/) PRIOR TO AWARD.
