Description
The United States Patent and Trademark Office (USPTO) is seeking sources for Conference Space and Services for the Nashville, TN for July 17-18, 2006 for the USPTO?s Conference on Intellectual Property in the Global Marketplace. The anticipated attendance is 260 persons including attendees, speakers and support staff. Hotel rooms for 10 people for 2 nights are required for check-in on July 16, 2006 with check-out on July 18, 2006. The hotel rooms will not be charged to the USPTO?s master account, but will be paid by individual?s government travel card. The USPTO is not responsible for sleeping rooms for conference attendees, only for the USPTO?s staff who will be conducting the event. The USPTO requires the following event space: Conference Meeting Room(s) (Classroom Style Room): A space which will accommodate 250 people in a classroom style. The space is required for Sunday, July 16, 2006 for A/V setup, and will be required for the actual conference Monday, July 17, and Tuesday, July 18, 2006 from 8:00 am ? 5:00 pm. The room does not need to be reserved the entire day on Sunday, July 16, 2006, for the AV setup but adequate time is required. The room should be large enough for attendee seating, an A/V worktable in back, platform for videotape camera, and a dais in the front of the room with room for a podium and possibly for a table for four people for panel discussions. Press Room ? A space (theater seating), which will accommodate at least 12 people for two (days) July 17, and July 18, from 8:00am ? 2:00pm, with a head table with 3 chairs. Room must have telephone local calling access for both days. Refreshments for Conference Breaks - The USPTO requires setup for two (2) breaks per day, one (1) in the morning and one (1) in the afternoon for refreshments for both days. Morning breaks would consist of an al la carte menu items such as coffee, juice, soda, danish, bagels, etc. Audio/Visual The USPTO IPAC events require an array of audiovisual equipment and support. Aside from the equipment, we will need personnel to set up the site, be on-site throughout the two-day event to run the equipment and trouble shoot any problems which might arise during the conference, videotape selected presentations, take down the site after the conference, and have adequate off-site facilities for post-conference production to include editing and conforming videotaped presentations to individual educational modules for future training use. It is anticipated that the audiovisual equipment may need to be set up on Sunday, July 16, 2006.
