See questions and answers below: 1. What is the project start date? What is the anticipated project duration? Start date is approx 1 month from award date. Duration is approx 13 months 2. How will the government prepare the collections for shipment/delivery to the off-site contractor's facility? Documents will be in acid free folders 3. Does the government have specific requirements related to how the collection should be packed and returned at the end of the project when work is conducted off-site at the contractor's facility Documents should be in their labeled folders ready to be put into flat files. 4. In order to accurately determine the supplies needed and level of effort required by the contractor to perform the work, please provide the following information: a. Largest size map folder all the map drawers can accommodate 36" x 48" b. Number of items that may be housed in one acid-free map folder 20 items as a rule, however if a distinct group of drawings has 22 or 23 items that would be acceptable. c. % or number of items to be stored rolled e.g. larger than folder size provided in response 4a (see Phase I rehousing) approx 1% d. % or number of items with fasteners to be removed (see rehousing item 2) approx 3% e. % or number of items requiring unfolding (see rehousing item 3) approx 2% f. % or number of fragile items requiring Mylar encapsulation (see rehousing item 4) approx 3% g. % or number of highly acidic items requiring buffering (see rehousing item 5) approx 50% h. % or number of objects requiring separate storage (see rehousing item 6) less than 1% i. % or number of drawings not clearly labeled with a title block or other identifying information requiring the contractor to identify the drawing approx 15% 5. Folder Labels: a. Is a range of catalog numbers on a folder acceptable? yes b. Will the government provide the required map case and drawer numbers in advance so they may recorded on the folders during processing yes c. Does the government require the catalog number to be recorded anywhere other than the folder? Yes, the catalog number should be on the back, bottom right corner of each item. 6. Will the government provide a range of 3,000 catalog numbers once the processing plan is approved? yes 7. Will the government provide a list of the units, sites, and buildings that make-up the GATE records including current and previous names? yes 8. How have accession numbers been applied to the collections? at the item level? at the collection level? Have the accession records been created for the collection in ANCS+ The accessions are created at the collection level 9. May sets of drawings be cataloged together in ANCS+, for example a five-sheet set of mechanical drawings? Or does the government require each sheet to be cataloged individually? Each sheet should be cataloged individually 10. The solicitation specifically states ANCS+ software will be provided at the park, if work is performed there. Will a copy of ANCS+ software be provided for use at the contractor site? Will park specific ANCS+ set-up files and the ANCS+ accession records for the collection be included with the copy of ANCS+ software provided for off-site use The software will be provided. There are no park specific set up files needed 11. Which ANCS+ Collection Management fields in addition to the mandatory cataloging fields for archives/manuscript collections will be required to meet the cataloging component of the project Additional fields are: Date cataloged; manufactured date (when known); eminent organization (U.S. Army, U.S. Navy or NPS); Item count; Material; Measurements; Place of origin (when known); user 2 will need a two letter code from a list that will be provided. 12. Will print-outs of draft ANCS+ catalog records be accepted to satisfy the catalog worksheet requirement in the solicitation? Yes 13. Please confirm that the project deliverables include the following: a. One survey for each of the three collections b. One processing plan covering all three collections c. 3,000 cataloging worksheets (or a comparable deliverable found acceptable by the government, see previous question) d. Arranged and rehoused collection delivered to Gateway National Recreation Area, 210 New York Avenue, Staten Island, NY 10305 e. 3,000 ANCS+ catalog entries delivered on zip disk f. Completion report to include copy of surveys and an appendix containing the conservation needs list Confirmed. END OF ANNOUNCEMENT
