- The Food and Drug Administration is accepting bids for the following Professional Services: Audio Visual Resource and Conference Room Coordinator(s) Two individuals will be responsible for the overall operation and of the Audio-visual resources and associated new technologies. The primary duties are: 1) Coordinate audio/visual (AV) activities of the Director?s conference rooms, training rooms and auditorium ? including the maintenance of MS Outlook calendars and assist with the scheduling of events. 2) Prepare, set-up and confirm operation of all AV equipment necessary for meetings, events, and presentations as requested by CFSAN staff or the Project Officer. 3) Maintain the Director?s conference rooms, training rooms, and auditorium in a clean and orderly manner. Trash, floor vacuuming and other custodial maintenance will be performed by others. 4) Assist presenters and meeting facilitators with operating equipment as needed. This may include operating a laptop computer, video-conferencing, and sound system testing -- most presenters and meeting facilitators will operate laptops on their own, but some instruction may be needed. 5) Create and maintain user guides to assist users with operation of AV equipment and/or give instruction to presenters and meeting facilitators that want to operate the AV equipment independently. 6) Occasionally perform presentations to instruct CFSAN staff on the capabilities, functions and operation of AV equipment. 7) Must be able to respond to last minute requests for assistance. Some Saturday/Sunday work may be required. Such work will be coordinated with the Project Officer. 8) Maintain equipment in good working condition at all times. Coordinate necessary repairs and routine maintenance services as needed. 9) Assist with maintenance of technical equipment/documentation for the proper operation and functions of equipment. Keep documentation, maintenance records, and vendors? call list up- to-date. 10) Troubleshot malfunctions equipment with the assistance of the manufacturers and/or vendors. Provide assistance to the project officer in the replacement of equipment. 11) Assist in web cast services as needed. 12) Aide in the design, content and general upkeep of web pages explaining procedures, functionality, and general information on the rooms for the FDA/CFSAN Intranet. 13) Create and maintain a log detailing activities requested by CFSAN staff (i.e., problems, resolution, maintenance calls) 14) Provide written status reports as requested to the Project Officer. Staff shall be provided Monday through Friday (continuous coverage) between the hours of 7:00 a.m. and 6:00 p.m. Daily work schedule (8 hours a day) to be established with the project officer. As Saturday or Sunday work may be required, time-off will be given during the work week to compensate accordingly. DELIVERABLES: The contractor shall submit the following to the Project Officer: Deliverable Due Date A Log detailing activities requested by CFSAN staff, Problems, resolution, maintenance calls, etc. Upon request Status reports summarizing activities Upon request Summary of billing/invoice Monthly SECURITY and CONFIDENTIALITY The contractor will need to undergo a security review and may need to obtain a security clearance. Type and details will be provided at the start of the contract. Failure to obtain a satisfactory security clearance from FDA may result in the termination of the contract. The Contractor shall realize the regulatory nature of FDA and accepts responsibility for diligence in protecting the security and confidentiality of any information acquired with the FDA networking infrastructure, staff projects, meetings, seminary or other sensitive information. During the course of the contract, if questions arise as to what information can be shared with potential solution providers, others performing maintenance on systems, third party or other staff, the contractor will seek guidance and approval for the Project Officer.
