Description
The National Institutes of Health (NIH), National Institute of Child Health and Human Development (NICHD) has a requirement to procure conference space for its Third annual meeting of postdoctoral, visiting and clinical fellows and graduate students of NIH, May 10-11, 2007 from the Airlie Foundation, 6809 Airlie Road, Warrenton, VA 20187. Since the establishment of the Office of Education, Division of Intramural Research, in September 2004, an annual meeting of fellows has been organized with the following objectives: to teach fellows the latest scientific techniques from a range of disciplines applicable to the intramural program of NICHD; to train fellows in research and professional skills in targeted areas (e.g., teaching, mentoring, grant-writing, public speaking, technical writing); to foster the career development of our fellows through interactive sessions and skills/strategies sessions with alumni of NICHD and others pursuing a range of careers; and to afford an opportunity for scientific exchange and networking among NICHD fellows through two poster sessions, an intensive and extended period of time together, and in an atmosphere conducive to learning and interaction. To maximize participation we plan to hold the event off-site, which will also ensure that participants are free from the day-to-day obligations of their laboratories, with a requirement for an overnight stay to ensure maxium participation in evening and early morning events. To identify the most effective site for our meeting, consistent with our space needs and training objectives, the following are specific requirements for the location. The Airlie Conference Center, Warrenton, Virginia all-inclusive price pet person, principal benefit is the distance of 50 miles from NIH, which ensures participants will remain for the duration of the retreat, particularly in view of continuous sessions, up 10 p.m. the first evening and all of the following day until 4:30 p.m. Airlie has an ideal learning environment, with windows in all meeting rooms; we plan to hold our poster sessions out of doors in the gazebo. Sit-down private dining is critical for lunchtime speakers/activities. The complete meeting package should contain the following: begins with dinner and includes the following: guestroom accommodations including private bath, in-room coffee service, iron & ironing board, hair dryer, radio-alarm clock, cable television, magnetic lock, & data ports. Three consecutive meals, beginning with dinner on evening of arrival served buffet style in the Arlie Dining Room featuring hearty fare as well as vegetarian and health-conscious choices. Airlie?s Chef makes a special effort to include seasonal yield from Airlie?s own local food project organic garden in its diverse menu. General session meeting rooms with specified meeting room set-up. Continuous refreshment breaks complete with hot and cold beverages and a wide variety of snacks such as fresh fruit, yogurt, freshly baked pastries, veggies, chocolate items and soft cheeses. Standard audiovisual including two flip charts, overhead projector, slide projector, LCD projector, projection screen, VCR & monitor, podium & microphone, hand held corded microphone, whiteboard, pencils & pads. Guest Services/Concierge to assist with business services, email and computer access. On-site conference planner; there are many special dining opportunities available to Airlie guests: private dining can be served buffet style or as a seated banquet both with special dietary requirements. Interested vendors may identify in writing their interest with a capability statement to the Contracting Office prior to the closing date of this notice. This notice of intent is not a request for competitive proposals; however, all responses received, before the closing date of this announcement, will be considered by the Government. A determination by the Government not to compete this proposed acquisition is based upon responses to this notice and is solely within the discretion of the Government. Information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. It is anticipated that the Request for Quotation (RFQ) NIH-NIDDK-07-016 will be available fifteen (15) days after the release of the RFQ. Receipt of quotations will be due ten (10) days after the release of the RFQ. The anticipated award date is November 13, 2006.
