- THIS IS A SOURCES SOUGHT NOTICE ONLY. This is NOT a Request for Proposal, Request for Quote, or Invitation For Bid. The U.S. Fish and Wildlife Service, National Conservation Training Center (NCTC) is seeking to identify qualified sources that can provide a commercially available Property Management (Guest/Hotel Services) System. NCTC currently uses Fidelio Express which is near the end of its lifecycle and will need to be replaced. Basic requirements are as follows: 1. Server portion of the system should run on Windows 2003 Server; 2. The property management database should be either SQL Server or Oracle; 3. Client portion of the system will be Windows XP based and support approximately 20 client workstations; 4. The Server will be housed onsite at NCTC and client systems are located throughout campus and interconnected via a switched fiber backbone, with 100mb standard Ethernet connections to the desktop pc's. 5. Any additional interface servers that would be required will need individual battery backup units to last at least 1 hour; 6. Property Management System will start with a 226 guest room capacity, but should have capability to expand beyond the current room capacity; 7. Installation and support team must be available on-site at NCTC to provide cutover training and support while the current system is being transitioned to the new system. The team must be abailable to fix any glitches and provide question/answer support onsite for at least the first 2-3 days; 8. Software support should be available 24/7/365; 9. All existing lodge and guest data will need to be migrated to the new system; 10. The guest system must demonstrate enhanced technology features such as the interface of text messaging between housekeepers and front desk. All existing interfaces must be migrated and compatible with the new system. These include: Meridian Option 81C telephone switch, Call accounting system - wake up calling, Micros POS system (Food & Beverage and Gift Shop), Onity Key Card System (Tessa) - electronic guest room keys, Housekeeping room status update (via telephone system), credit card authorization, Metasys EMCS - so that lodge rooms are automatically placed into an occupied status for heating/cooling when the guests are checked in and then put back in unoccupied status when guest checks out (this is a new requirement). The new Property Management System must include components for Reservations, Housekeeping, Electronic Mail, User Ledger, Accounting and HVAC. Firms are asked to provide: 1. Literature describing commercially available systems that can provide the required capabilities, or can be tailored to do so; and 2. Commercially available pricing information; 3. Identify current customers/users of the system. This Sources Sought Notice is issued for the purpose of market research only and the Government is in no way obligated to purchase any material as a result of this inquiry. The Government will not pay for any information submitted in response to this Notice.
