Description
The Department of Veterans Affairs has a requirement for Hotel Accommodations and Hotel services located in the area of Buckhead,GA. The Department of Veterans Affairs is a federal agency and therefore exempt from any taxes. The tax exemption document will be provided upon award of the contract. The Department of Veterans Affairs, Veterans Benefit Administration, will be conducting Equal Employment Opportunity and Alternative Dispute Resolution Training during the period of July 28, 2007-August 3, 2007. The breakdowns for hotel accommodations are estimated as follows; Saturday 7/28 (4), Sunday 7/29 (80), Monday 7/30 (84), Tuesday 7/31 (82), Wednesday 8/1 (78), Thursday 8/2 (78) and check out on 08/03-Friday. Based on the breakdown described, the total rooms requested are 406 each. PAYMENTS FOR ROOMS SHALL BE VIA PURCHASE ORDER. The following are the requirements for this solicitation; all rooms must be at government per diem rate or lower for Atlanta, GA, all offerors submitting proposals for this requirement must include Duns and Bradstreet Number and tax id number, agency shall be registered and active in the Central Contractor Registration (CCR), all offerors must include the RFP number on their proposal; otherwise your proposal will be considered unresponsive. The website for CCR is www.ccr.gov. The additional requirements are the offeror must be in compliance with the American Disability Act (ADA), the Hotel and Motel Fire Safety Act of 1990 (Public Law 101-391), no penalty for rooms not used, hotel must have availability to lodge all participants in one hotel, provide shuttle to area activities/restaurant within 2 miles, free onsite parking or minimal charge, in room internet access and 24 hour fitness center. The following requirement for this solicitation includes continental breakfast and light refreshments for afternoon breaks for 84 attendees from July 30-August 2 (a break down is require and what is included and cost or cost for each attendee and what is included), one large meeting room to accommodate 84 people; four breakout meeting rooms to accommodate 20, one luncheon accommodation for 84 with podium for the speaker and these requirements will be process on a separate purchase order. Additional for hotel accommodations include onsite 24 hour security, easy access to onsite hotel representative during business hours, meeting space to be held on a 24 hours bases, ice water and glasses provided on each table with writing pads and pens, all meeting rooms must be without pillars/post to obstruct view. Location requirement: hotel must provide within walking distance (not to exceed 5 normal blocks) the following: variety of restaurants and entertainment (i.e. jazz club/movie theater/historical landmarks). The specific instructions contained herein are intended to serve as a guideline for the preparation of the quotation. In developing the quotation, the Offeror shall comply with the requirements stated in this solicitation by answering yes or no to each requirement as listed above. THE GOVERNMENT INTENDS TO AWARD WITHOUT DISCUSSIONS. Therefore, each offeror is urged to examine this request for proposal in its entirety and to ensure that their proposal contains all necessary information, provides all required documentation, and is complete in all aspects. The Offeror shall certify that all files and electronic media have been checked for and are free of viruses. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; quotations are being requested and a written solicitation will not be issued. Please complete 52.212-3 Offeror Representations and Certifications-Commercial Items with your proposal.
