Description
NAICS Code: 72111 The United States Environmental Protection Agency (EPA) Region III has a requirement for Hotel Accommodations and Hotel services located in the geographic area of Cumberland, Maryland (within a 30 mile radius of downtown Cumberland). The EPA is a federal agency and therefore exempt from any taxes. The tax exemption document will be provided upon award of the contract. The EPA Region III will be hosting the 2007 Annual Corrective Action Meeting scheduled to begin the morning of November 14, 2007 and ending in the afternoon of November 16, 2007. The EPA requires hotel accommodations as follows: 100 sleeping rooms for November 13, 14 and 15, single occupancy, non-smoking, at the government rate. Buffet style lunch and dinner shall be provided by the contractor on 11/14; breakfast, lunch and dinner on 11/15; and breakfast and lunch on 11/16, all for approximately 100 people. A meeting room capable of accommodating 120 people shall be required on 11/14 and 11/16. Two smaller rooms accommodating 60 people each will be required on 11/15. Additionally, the contractor shall be required to provide Audio Visual equipment IAW the RFP. The contractor's location shall be able to facilitate team building exercises in an environmental setting, including, but not limited to: nature walks, biking, jogging, etc. The contractor's locations shall also provide a setting for vendors to set up technical equipment such as drill rigs, trucks containing sampling equipment, outdoor sampling equipment, etc. All offerors submitting proposals for this requirement must include Duns and Bradstreet Number and Tax ID number, shall be registered and active in the Central Contractor Registration (CCR), all offerors must include the RFP number on their proposal; otherwise your proposal will be considered nonresponsive. Additional requirements are that the offeror must be in compliance with the Hotel and Motel Fire Safety Act of 1990 (Public Law 101-391), and in compliance with EPA's Green Meetings initiative, http://intranet.epa.gov/oamintra/policy/greenmeeting.pdf; There shall be no penalty for rooms not used, and the hotel must have availability to lodge all participants in one hotel. In developing the quotation, the Offeror shall comply with the requirements stated in this solicitation. THE GOVERNMENT INTENDS TO AWARD WITHOUT DISCUSSIONS. Therefore, each offeror is urged to examine this request for proposal in its entirety and to ensure that their proposal contains all necessary information, provides all required documentation, and is complete in all aspects.
