The focus is on readiness of individuals and units. 1.1 BACKGROUND This is an annual event held by the 7th Army Reserve Command, G-1 and G-8 Divisions. 1.2 SCOPE The contractor will furnish lodging, subsistence and conference room with air conditioning to conduct the G1/G8 Conference to include digital media projector (Beamer/Proxima) with computer connectivity for laptop and Hardwire and Wireless Internet access d uring conference for one laptop. 2 REFERENCED DOCUMENTS IAW: AR 135/140 series Personnel Reserve Component Regulations JFTR USARC Pam 37-1 3 REQUIREMENTS 3.1 ACCOMMODATIONS: All accommodations shall be single occupancy and sized in accordance with U.S. Government's Joint Forces Travel Regulation. An English speaking employee should be available at all times. Total of 274 nights distributed as in 3.1.1-3. 1.3 below. 3.1.1 Advanced party will arrive on 5 August 2007 for 6 nights for 4 personnel. 3.1.2 Main participants will arrive on 6 August 2007 for 5 nights for 50 personnel. 3.1.3 All rooms should include private bath, radio, TV, hair dryers and telephone. Iron/Ironing boards should be available upon request. Phone, movie(s) and mini-bar charges will be the responsibility of the individual and will be paid upon check out. 3.1.4 Parking shall be provided at no cost for all guests with either open bay or underground secured parking. 3.2 MEAL SERVICE. The unit price for each bed night in the hotel shall include three full meals daily. Meal service shall start with the evening meal on the first day of occupancy and end with the lunch meal on the day of departure. 3.2.1 Breakfast shall consist of eggs (scrambled/boiled), bacon, sausage, assorted cold cuts and cheeses, assorted cereals and breads, yogurt, tea, coffee, milk, and assorted juices. 3.2.2 Lunch shall consist of soup, assorted breads, pasta, assorted vegetables, meat or fish entr?e, dessert, and non-alcoholic beverages. 3.2.3 Dinner shall consist of soup, assorted breads, assorted vegetables and salads, choice of meat or fish entree, potatoes, pasta, and non-alcoholic beverages. Supplemental drink service at the tables will be available on a pay-as-you-go basis. 3.2.3.1 All meals shall be served Buffet style. 3.2.4 A grouping of tables shall be identified for participating personnel for meals. The meal serving times shall be as follows: BREAKFAST: 0630  0745 LUNCH: 1130  1245 DINNER: 1830  2000 3.2.4.1 Tea, coffee, water and cookies/fruit shall be provided during morning and afternoon breaks during the conference. 3.3 TECHNICAL REQUIREMENTS 3.3.1 Daylight conference room with air conditioning, microphone, flip chart, pin board, digital media projector (Beamer/Proxima), and screen for computer setup. 3.3.2 Hardwire and Wireless Internet connectivity for Laptop computer with table for positioning. 3.3.3 Conference Room shall be able to seat approximately 60 personnel and tables should be arranged to facilitate visual aspect of training. The contractor shall provide all services from 5 to 10 August 2007. 3.4 CONTRACT MANAGEMENT 3.4.1 The Contractor shall implement and maintain cost and schedule monitoring procedures adequate to provide performance reporting and timely identification and resolution of all problems that effect proper completion of this effort. 3.4.2 The Contractor shall prepare and support all functions as described above in order to accomplish this mission in th e most efficient manner. 3.5 CONTRACTOR MANPOWER REPORTING 3.5.1 The Contractor shall report all contractor manpower (to include subcontractor manpower) employed for the performance of this contract. The Contractor shall complete all required fields in the reporting system using the web address: https://cmra.ar my.mil. The requiring activity will assist the Contractor with the reporting requirement as necessary. The Contractor may enter reports at any time during the reporting period, which is defined as the contract's period of performance not to exceed 12 mon ths ending 30 September of each Government fiscal year. Reporting must be completed no later than 31 Oct following the fiscal year during which the contract is in place. Reporting must be completed for every year or part of a year for which the contract is in place. Failure to comply with this reporting requirement will result in contract termination.
