- THIS IS A SOURCES SOUGHT SYNOPSIS ANNOUNCEMENT; A MARKET SURVEY FOR INFORMATION ONLY. THIS IS NOT A SOLICITATION FOR QUOTES AND NO CONTRACT WILL BE AWARDED FROM THIS SYNOPSIS. NO REIMBURSEMENT WILL BE MADE FOR ANY COSTS ASSOCIATED WITH PROVIDING INFORMATION IN RESPONSE TO THIS SYNOPSIS OR ANY FOLLOW-UP INFORMATION REQUESTS. THE PURPOSE OF THIS SYNOPSIS IS TO GAIN KNOWLEDGE OF POTENTIALLY QUALIFIED SOURCES AND THEIR SIZE CLASSIFICATIONS (SMALL BUSINESS, LARGE BUSINESS, ETC.) PLEASE DO NOT REQUEST A COPY OF A SOLICITATION, AS ONE DOES NOT EXIST. The Government is seeking, qualified, experienced sources, having facilities located within Montgomery, Alabama, interested in providing the services associated with being the venue for seven (7) NCOA Graduation Ceremonies to be held on the following dates: 7 Nov 07, 21 Feb 08, 3 Apr 08, 22 May 08, 10 Jul 08, 11 Sep 08, and 30 Oct 08. The ceremonies are formal affairs held during evening hours that involve contracted beverage and meal service. The contractor will provide kitchen facilities, on premises, suitable for the preparation of a hot, full course meal and accommodate the servicing and orderly cleanup of the same. Kitchen facilitates should ideally be located with direct access to the main dining area to allow the caterer to serve meals to 600, as the total number of attendees is not expected to exceed 600, per event. The facility must be able to accommodate up to 600 total guests in a single large room for the formal event as well as provide parking and security for all attendees. Contractor must be willing to coordinate events well into the future and provide confirmation of facility availability and personnel support. The GTNCOA may setup various unique items (such as state flags, displays, etc); however, the government will deliver, setup, and tear down those unique items. General on-site support staff is required and should be in place from 1-2pm for each ceremony practice to ensure the audio/visual equipment is working properly and from 4-1030 pm during each ceremony. The stage with 2 podiums must be in place for the 1pm practice session. The AV equipment technician will be onsite to ensure all AV equipment is working and handle any emergencies throughout the event. All setup and clean up is will be accomplished by the contractor. Contractor must be willing to participate in after-action meetings to discuss the event, possible improvement areas requiring further coordination, and action items to be accomplished prior to the next scheduled event. Contractor deliverables and submittals include: a stage (at least 12 inch riser and large enough to handle two podiums and an awards table 6'L X 3'W), two podiums, two microphones on podiums and two additional microphones for singers, two large screen projection televisions with 2 projectors, CD player to play music. Items must be setup and ready by 1pm the day of the event, for the practice. Upon the discretion of GTNCOA, a Fallen Comrade table will be provided and the necessary setup will be coordinated with the contractor. Also required are two stagehands, janitorial staff, 2 head tables to seat 10 people, and seating for required number of guests and VIPs. A large US flag will be pre-posted behind the stage and will remain displayed during the event. Police patrol for traffic and parking lot patrol from 530pm to 10 pm is required. Additionally, a separate and VIP appropriate lounge area is required for accommodation of up to 15 guests. This area ideally should be located adjacent to the event room with a separate entrance. Gunter NCOA will have regular contact with the contractor prior to each event to focus on number of attendees, required set ups, and other logistics. Therefore, the Gunter NCOA is requesting that interested concerns furnish the following information: (1) Company name, address, point of contact, voice and fax telephone numbers and e-mail address(s). (2) Type of business, i.e., small, small disadvantaged, woman-owned, HubZone, serviced-disabled veteran-owned small business, large business, etc. under North American Industry Classification System (NAICS) 531120 which contains a size standard $6.5 million.
