Description
The following questions and responses are hereby incorporated into this Combined Synopsis/Solicitation. All other terms and conditions remain unchanged. QUESTION 1: How many room nights? 100 rooms for one night, 10/23? GOVERNMENT RESPONSE - Providing overnight accommodations is not part of this requirement. The conference space must accommodate 100 individuals at one time. QUESTION 2: What do you mean concerning COOP? How can a hotel meet the undefined need? GOVERNMENT RESPONSE: The COOP refers to the proximity requirements (within 15 miles) of 1201 NY Ave, NW, offices, and a metro stop that is no more than a 5 minute walk from the conference facility. The COOP essentially refers to the requirements as set for in Section E.1 of the Combined Synopsis/Solicitation. QUESTION 3: If my space is within a 5 minute walk from metro, does the 15 mile requirement still apply? GOVERNMENT RESPONSE: Yes - both requirements must be met. QUESTION 4: If the hotel sets up the room, why do you need access on 10/22? RESPONSE: DHS requires access to the room based on requirements of the agenda, to ensure all is working, and that government materials are in place. QUESTION 5: What time of day do you wish to gain access on 10/22? GOVERNMENT RESPONSE: DHS requires access in the afternoon of October 22, 2007.. QUESTION 6: Can I use the room on the night of 10/23 if the room is available to you on 10/24? GOVERNMENT RESPONSE: No, DHS requires three rooms - as specified. The rooms need to be available to DHS in the evening. QUESTION 7: What do I have to do regarding D. Scope? RESPONSE: The contractor is not required to provide any services regarding Section D, Scope. This section is added for informational purposes only. QUESTION 8: Is it possible for a hotel to comply with E.1.4), second sentence. GOVERNMENT RESPONSE: This Section should be revised as follows: ?Immediate accessibility to Washington Metropolitan Area Transit Authority (WMTA) Metro Rail System (within no more than a five minute walk to a METRO strop entrance) and no further than fifteen miles from OCHCO Headquarters at 1201 NY Avenue, NW, Washington, DC. QUESTION 9: There is a huge difference in room size between rounds and classroom. Which do you desire? GOVERNMENT RESPONSE: As specified - for the general meeting room, it can be either (whichever can more comfortably fit the number of participants based on the room size offered) since the Government has not specified room size. The smaller break out rooms can be set up as rounds. QUESTION 10: Please define E.3 1) - How many flip charts, etc. are required? GOVERNMENT RESPONSE - No less than 2 per room. QUESTION 11: (Per E.3 2) How many people will be at the table for panel discussion? GOVERNMENT RESPONSE - As stated in Section E.2.1 - up to nine QUESTION 12: How many past performance references do you want? GOVERNMENT RESPONSE - Past performance references were not requested for this requirement. QUESTION 13: Will the order issued by DHS pay for the sleeping rooms? GOVERNMENT RESPONSE - No, as previously stated, over-night accommodations are not part of the requirement. QUESTION 14: When will funding be available? GOVERNMENT RESPONSE ? This requirement is subject to the availability of 2008 funding. Funding is not presently available but will be provided upon DHS? receipt of FY 2008 Appropriations. QUESTION 15: When do you expect to make award? GOVERNMENT RESPONSE: Award is expected within three (3) weeks after close of the Synopsis/Solicitation. QUESTION 16: Can you address ADA requirements? GOVERNMENT RESPONSE: Based on Federal requirements, facilities must be ADA accessible. QUESTION 17: What is the name of the hotel you really want to use? GOVERNMENT RESPONSE - Selection will be based SOLELY upon responses received. As provided in the Combined Synopsis/Solicitation, the Department of Homeland Security will select the contractor, whose offer provides the best value to the government. NOTE: THIS NOTICE WAS NOT POSTED TO FEDBIZOPPS ON THE DATE INDICATED IN THE NOTICE ITSELF (22-AUG-2007); HOWEVER, IT DID APPEAR IN THE FEDBIZOPPS FTP FEED ON THIS DATE.
