Description
DDC has received the following questions from contractors concerning the requirement for Audio-Visual Teleconference systems at DDAA. Answers to these questions are included below. The Scope of Work will be revised, and will be issued via a separate Amendment to this Combined Synopsis/Solicitation. Contractors must refer to the amended Scope of Work for changes to the requirement, and must provide quotes based upon the amended Scope of Work. The period to schedule site visits is extended to August 29, 2007, and the closing date for receipt of proposals is extended to September 5, 2007. Contractor No. 1: DDAA Commanders Conference Room 1. Does the VTC need to have multipoint capabilities? If so, how many locations? No. 2. Will the VTC need to have ISDN capability at time of installation or will the standard IP interface be utilized and ISDN is to be an option for the future if needed? It will need ISDN connectivity initially, but we would like to be able to connect it to an IP connection in the future. Currently the room has one ISDN line, but will have two or three ISDN lines at the time the work is performed. VTC equipment should be ready to accept up to three ISDN lines at time of installation. 3. Does the VTC need to be High Definition quality at time of installation and subsequently the camera? If not do you want the option to unlock that feature in the future on the CODEC? No. Neither device needs to be High Definition quality at this time, but it would be good if the CODEC has the capability to provide High Definition quality in the future. The Scope of Work will be revised to request that contractors quote a High Definition VTC and camera as an option. 4. Would you like to have the VTC capable of sharing presentation and source content during the meetings? This is called People+Content. Yes. The Scope of Work will be revised to add this feature to the RFQ for the Commanders Conference Room only. 5. Is there a preferred location for the guest laptop connection such as the table or a wall plate? Will you want a network connection available at this input as well? The laptop connection should be able to reach the middle of the table on the side closest to the projection screen. We need to be able to coil the cable up behind the armoire out of sight when not needed. A network connection would be desirable. 6. Do the microphones need to pickup the peripheral seating locations or just the primary table attendees? Is there a preference between table boundary microphones or ceiling mounted? The microphones need to pick up the primary table attendees. Table microphones (with mute buttons) are acceptable. If ceiling mounted microphones are used, there needs to be some means of muting / un-muting the microphones easily. 7. Is there 19? rack rail installed in the armoire for required AV equipment? If not is there room to install a 19? rack rail frame for same purpose? No, a rack is not currently installed in the Armoire. It is large enough to accommodate a rack rail frame. 8. Regarding the control system touch panel: a. Is there a size requested? A small LCD touch panel 7 ? 8.5 inches (diagonally) is sufficient. The control panel will normally be located at the Armoire, but should be movable. Some means of operating the VTC, microphones, and camera from the table should be provided. The Scope of Work will be revised to address this. b. Will you need video preview capabilities on the panel for ?far side? VTC viewing? No, not on the touch panel. Contractor No. 1: DDAA Training Room 1. Questions 1-5 from above apply for this room as well? 1. Does the VTC need to have multipoint capabilities? If so, how many locations? No. 2. Will the control system touch panel location be at the lectern or is a wireless unit to ?float? with the presenter a better option for you? A small LCD touch panel 7 ? 8.5 inches (diagonally) is sufficient. The control panel will be located at the lectern. Some means of operating the VTC, microphones, and camera from a chair on the front row should be provided. The Scope of Work will be revised to address this. Will video preview be required / desired for ?far side? VTC viewing? No, not on the touch panel. 3. Will the presenter typically be located at the lectern and necessitate a lectern mounted microphone? No. The room is small enough that a microphone is not necessary. Also, on-site instructors often move away from the lectern, especially if they are using the whiteboard. Contractor No. 2: 1. When the describing the new VTC, it is unclear whether you expect one or two cameras? One camera per room is sufficient. The Scope of Work will be revised to address this. 2. Do you need IP only or IP and ISDN? Both IP and ISDN. See questions and answer for contractor no. 1 for details. 3. Do you need secure VTC capability? No. 4. When you describe microphones "must provide sufficient coverage for the entire conference room for video teleconferences and local presentations" do you mean desktop, wireless, or ceiling microphones? How many? For the Commander?s conference room, tabletop microphones should be sufficient. The table is approximately 6 x 9 ft, and the microphones need to pick up the primary table attendees. For the Training room, there are three rows of tables (four tables per row), so either ceiling or tabletop would be sufficient. This room primary function is classroom training, not VTC?s, so we don?t need a microphone on every desk. The Scope of Work will be revised to address these.
