- 1. Q. Please clarify the time frame. The start and work of a 24 hour period or less depending on the man hours needed even if it is at night? A. Historically, when we performed the inventory we did both Inpatient and Outpatient Rx on the same day that being Saturday. On Sunday, we did the SEEC and NWEC. It would be ideal if the contracted inventory company could do all three sites the same day - Saturday starting in the morning say 6:30- 7:30 and finishing by 4 or 5 pm. We plan to have a VA pharmacy employee at all three sites to handle questions from the inventory team. The inventory of all the sites should not take more than 9-10 hours to complete-max. We would prefer not to work during the night 2. Q. Are there estimated levels available for an accurate pricing for the RFP? A. Previous years inventory levels at the various sites: March 2006 March 2007 Outpatient Pharmacy 525,549.89 702,659.88 Inpatient Pharmacy 478,489.93 413,318.68 Northwest Ext. Clinic 39,167.60 22,383.88 Southeast Ext. Clinic 58,357.26 24,048.82 3. Q. In our experience with the VAMC's, even though the RFP states that the facility will count the Narcotics and then give the counts to be entered to the inventory service, we have actually taken inventory of Narcotics for the VAMC with their presence. For this RFP, will this be allowed, or will the Pharmacy count the Narcotics. A. Pharmacy management will inventory the Narcotics at all sites. These numbers will be turned over to the inventory team to included in the final inventory reports. 4. Q. Will the pharmacy staff be able to have the item #/NDC available on the products if none are present? Or will the staff give us the information when we find these items without proper identification? A. One Procurement team member will be present at each site to assist inventory team members with questions on NDC numbers or any other areas of concern. 5. Q. The Robot Cannisters or Autoscripts, many times the items in the cannisters do not have NDC's/Item numbers labeled nor will they be counted by the pharmacy staff. We have usually counted and research these items on our own since the staff is minimal on weekends? Would this be allowed or will the staff have this ready prior to our arrival? A. Medications contained in any robotic devices will be inventoried by pharmacy staff. 6. Q. Has a contract been previously awarded for this service? If so, who won the award and what was the award amount? A. Previous contracts have not been awarded for this service. Previous inventories were performed by pharmacy staff members from each area. 7. Q. You have listed four pharmacy locations. What is the approximate size of each? Can you please provide the estimated inventory/quantity on site for each? A. Approx. sizes of each area: Most accurate inventory figures for each site are shown in question #2 March 2007. Outpatient Pharmacy 7,000-8,000 sq.ft Inpatient Pharmacy 2,000-3,000 sq.ft Northwest Ext. Clinic 200-300 sq. ft Southeast Ext. Clinic 1,000 - 2,000 sq ft. 8. Q. Are you requiring the prime contractor to hold a valid DEA Registrant license? A. We are not requiring the prime contractor to hold a valid DEA registrant license. 9. Q. In leu of a site visit, can you provide a map of each existing site set up, per location,regarding inventory/storage? A. A site visit prior to inventory will be required. I would like to meet management members of the inventory company to discuss our specific needs and concerns with inventory issues and to go over physical layout of each site. In addition, we expect the inventory company to report inventory data using Mckesson VA information/pricing. In the past we had a bad experience with a potential vendor who was not able to get their software to load Mckesson information. Random inventory tests proved a failure. Vendor was not hired and pharmacy personnel ended up doing inventory at the last minute. We do not want to repeat this again. All systems will need to be tested prior to actual inventory event.
