Description
The Social Security Administration (SSA) intends to negotiate a sole-source acquisition with the Renaissance Baltimore Harborplace Hotel, 202 East Pratt Street, Baltimore, MD, 21201, for the purpose of providing conference support services including registration space, conference meeting space, office space, and associated support services including A/V equipment, continental breakfast, morning and afternoon breaks and 2 working lunches for up to 80 attendees on the dates of April 13-18, 2008. Registration will begin the afternoon of Sunday, April 13th, and the conference meetings will begin on Monday, April 14th. The following space is required: Registration space required Sunday from 3-8pm, and Monday from 7am-8:30am. Space shall be able to accommodate congregation/flow of 80 meeting attendees along with 2 long registration tables, 6 chairs, and 2 easels. In addition, the following meeting space is required (note the contractor must be flexible with regard to the configuration of meeting space). April 14-18th: Main Meeting space from 8am-6pm for 80 people, set up classroom style with space for a riser and podium for presenters. Office space to be used by staff as an office/command center/IT Support shall also be available. In addition to meeting space, the hotel must be able to provide Audio Visual Equipment and Food Services such as continental breakfasts, AM and PM breaks and 2 working lunches for 80 people. Food services must be served in an area in close proximity to the meeting space. The facility must also be able to accommodate a minimum of 480 sleeping room nights, at the Government per diem rate or less, as follows: 80 rooms per night from April 13-18, 2008. Other Hotel Requirements: Hotel must be located in Baltimore, MD, Inner Harbor area; Hotel must be FEMA Approved and be able to offer handicapped rooms if requested by attendees; Hotel must meet and have the ability to exceed the number of sleeping rooms requested if needed. Hotel must be in very close proximity to public transportation system and numerous restaurants and located in a safe, secure location. The conference events and the sleeping rooms must be under one roof. See Numbered Note 22 except that the response time is changed to 3:00pm in 5 calendar days (December 26th). SSA is NOT seeking an event planner for this event.
