Description
The purpose of this amendment to the combined synopsis/solicitation is to post the Requirements Document, outlining the RFQ, at hand. Requirements Document for HQ AF/A7C Deputy Base Civil Engineer (DBCE) Conference 1. Dates: 11-14 Mar 08 2. Location: Washington D.C. / Arlington, VA Vicinity 3. Daily Times: a. March 11, 2008: Ice Breaker (1830-2200) See paragraph 4b below i. Need meeting room sufficient for 300 persons, icebreaker layout. Provide design layout, if capable. ii. Ten maximum high-cocktail tables with associated barstool seats b. March 11-14, 2008 (0700-1700) i. Need room sufficient for 150 seated persons, conference seating Half moon seating (not ?school-room? seating). Provide design layout, if capable. 4. Meeting Room a. Large meeting room sufficient for 125-150 persons. AV equipped as noted below. i. Equipment needed for meetings: 1. Projector Screens ? 2 2. Lav. Microphones (wireless) ? 2 3. Microphones (wireless, handheld) ? 2 4. House system patch/mixer 5. LCD Projectors ? 2 6. Speakers 7. Splitter 5. Food a. Sodas/Coffee/Tea and refreshments will be served at eight break periods (two each day, one-am, one-pm). Planning should account for 125 individuals at each break session (please provide details of provided refreshments/snacks): i. AM 'Snack' Break 1 - Coffee/Soda/Tea & light refreshments (for 125 persons) ii. AM 'Drink' Break 2 - Coffee/Soda/Tea (for 125 persons) iii. PM 'Drink' Break 1 - Coffee/Soda/Tea (for 125 persons) iv. PM 'Snack' Break 2 - Coffee/Soda/Tea & light refreshments (for 125 persons) b. Food/banquet services for the Icebreaker on March 11 will be contracted separately with hotel through a third party (Society of American Military Engineers) 6. Restaurants a. If a discounted rate at the lunch buffet for conference attendees is available, please outline terms. 7. Transportation a. The conference attendees will have use of the hotel's regularly scheduled shuttles. Please provide schedule within proposal.
