Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The Fort Bragg Directorate of Contracting (DOC) is soliciting proposals to provide hotel accommodations within a twenty (20) mile radius of the San Antonio Airport to be held from 26 Feb-3 March 2008. Alternate dates are 3-9 March 2008. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR Subpart 12.6, in conjunction with FAR 13.5, as applicable, and as supplemented with addi tional information included in this notice. This announcement constitutes the only solicitation; quotations are being requested and a written solicitation will not be issued. The solicitation number is W91247-08-T-0027 and is issued as a request for quotat ions (RFQ), unless otherwise indicated herein. The associated North American Industrial Classification System (NAICS) code for this procurement is 721110 with a small business size standard of $6.5M. This requirement is unrestricted and only qualified offe rors may submit quotes. The solicitation will start on the date this solicitation is posted and will end on 11 February 2008, 3:00 pm Eastern Standard Time (EST). The USA ACA Ft. Bragg requires the following items, Meet or Exceed, to the following: Line I tem 0001164 Standard Rooms, Firm Fixed Price, Two (2) rooms are required for 26 Feb 2008, Ten (10) rooms are required for 27-28 Feb 2008, Sixty-five (65) rooms are required for 29- Feb-1 Mar 2008, Ten (10) rooms are required for 2 Mar 2008, Two (2) rooms are required for 3 Mar 2008. Five (5) smoking and two (2) disabled rooms shall be available. Personal expenses in rooms, such as movies, laundry, and room services shall be paid by the guest and shall not be billed under the resultant purchase order. In a ddition, the Government will provide a by-name room listing with arrival and departure dates, smoking preference, and handicap access requirements to the hotel approximately one week prior to the date the conference begins. Line Item 00024 Each Breakout R ooms, Firm Fixed Price, ADMINISTRATION ROOM-- 27- Feb-2 Mar 2008 Hotel shall provide an administrative room adjacent to the meeting room equipped with chairs and tables for workspace to accommodate ten (10) people. This room shall be secured so that equip ment and supplies can be left overnight. In addition, ice water and glasses shall be provided by the hotel for the staff, one (1) voice telephone line provided by the hotel, two (2) high speed hard-wired internet access line for two (2) laptop computers. BREAKOUT ROOMS1 Mar 2008, 12-6 pm Hotel shall provide four (4) breakout rooms with classroom style seating for 20 people. In addition the hotel shall provide pens and paper, and ice water and glasses for all attendees. Each breakout room shall have an easel with butcher block paper and markers. INTERNET CAF?-- 28 Feb-2 Mar 2008 Hotel shall provide room with a large table at which four (4) Government provided laptop computers can be placed for guests to access the internet. In addition, office chairs a nd other furniture available for waiting guests are provided by the hotel and the room shall be secured so that equipment and supplies can be left overnight. *Alternate Solution: The requirement for an internet caf? set up may be deleted if the hotel has an established Business Room with in-house internet access terminals available for guests. Line Item 00036 Days, Firm Fixed Price, Large Meeting Space Rental, CONFERENCE MEETING ROOM26-29 Feb 2008, 8 am  6 pm Hotel shall provide U-shaped seating for 7 5 people. Tables shall be set with pens and paper for note-taking. In addition, hotel will provide one (1) viewing screen for projection, one (1) easel with b utcher block paper and makers, and ice water and glasses for 75 attendees. INFORMATION DISPLAYS--29 Feb-2 Mar 2008. Hotel shall provide signs or marquees to direct attendees to the meeting rooms. In addition, hotel shall provide space located adjacent to the meeting rooms for up to four (4) 6-8 Ft display tables for informational displays (trade-show style displays). Power outlets and adequate lighting shall be available in this space. REGISTRATION AREA-- 29 Feb-1 Mar 2008, 8:00-6:00 pm. Hotel shall pro vide space near the conference room at which to conduct conference registration with two (2) skirted tables and chairs for registration staff. Ice water and glasses shall by provided by the hotel for the staff. CONFERENCE MEETING ROOM/EVENING RECEPTION- 29 Feb 2008, 5:00-7:00 pm Hotel shall provide meeting space suitable to host a meet/greet social for up to 75 people. This includes round table seating. This shall be provided by the hotel with draped tablecloths. In addition, the hotel shall provide on e (1) handheld microphone for the host. MEETING ROOM- 1-2 Mar 2008, 8 am-12 pm Hotel shall provide meeting room to accommodate classroom seating for 75 people and tables set with pens and paper and ice water/glasses for all attendees. In addition the hot el shall provide audio visual equipment that includes one (1)laptop projector (proxima or comparable), two (2) large viewing screens for projection and video presentation, one (1) cordless and one (1) hands-free microphone and power outlets. Line Item 000 495 Each, Firm Fixed Price, Breakfast Buffet. Breakfast will be required on 1 Mar 2008. Breakfast will be served from 7:00 am to 8:00 am. Breakfast will consist of breakfast pastries, seasonal fruit platter, and selection of beverages including coffee, t ea, and an assortment of cold beverages, 75 each. Breakfast will be required on 2 Mar 2008. Breakfast will be served from 7:00 am to 8:00 am. Line Item 000575 Each, Firm Fixed Price, Afternoon Beverage Refreshments--An assortment of cold beverages will be required on 1 Mar 2008. Afternoon break will be served from 3:00 pm-3:15 pm. 75 each. Lin e Item 000675 Each, Firm Fixed Price. Appetizers will be served with the evening reception on 29 Feb 2008.. Appetizers will be served from 5:30 pm-7:00 pm and will include fruit and cheese plates, vegetable plates, two-three (2-3) hot appetizers, and an assortment of soda, water and iced tea. 75 each. Line Item 000795 Each, Firm Fixed Price, Lunch buffet will be required on 1 Mar 2008. Lunch will be served from 11:35 a.m. -1:00 pm. Lunch will include salad, light entr?e, starch, dessert, coffee, tea, an d an assortment of cold beverages (75 each) OR contractor-provided selected lunch in hotel restaurant for 75 people. Lunch Buffet will be required on 2 Mar 2008. Lunch will be served from 11:35 a.m.-1:00 pm. Lunch will include salad, light entr?e, starch, dessert, coffee, tea, and an assortment of cold beverages (20 each) OR contractor-provided selected lunch in hotel restaurant for 20 people. FAR 52.212-2-The Government will award a contract resulting from this solicitation to the responsible offeror who se offer conforming to the solicitation will be most advantageous to the Government, price, and other factors considered. The Government intends to award contract to the lowest quote. The selected Offeror must comply with the following commercial item ter ms and conditions. FAR 52.212-1, Instructions to Offerors - Commercial, applies to this acquisition. The selected Offeror must submit a completed copy of the provision at 52.212-3, Offeror Representations and Certifications - Commercial Items. FAR 52.212-4 , Contract Terms and Conditions - Commercial Items, applies to this acquisition. The following FAR clauses in paragraph (b) of FAR clause 52.212-5, Contract Ter ms and Conditions Required To Implement Statutes or Executive Orders-Commercial Items, will apply: 52.222-21, 52.222-26, 52.222-35, 52.222-36, 52.222-37, 52.225-13, 52.232-34.
