Description
The USDA Research, Education and Economics mission area intends to award a sole source contract to the Mayflower Hotel located in the Northwest area of Washington, D.C., to hold a 2 day meeting September 29-30, 2008 and a half day meeting on October 1, 2008. Market research indicates that only the Mayflower Hotel will meet the Government’s minimum requirements. The meeting will take place over two full days beginning September 29-30, 2008, for approximately 100 participants with a third, half day meeting October 1, 2008 with about 15 participants. Specific minimum requirements include: 1. Availability of requested dates. September 29 – October 1, 2008 2. Within 4 blocks walking distance from a Metro Stop. 3. Must be located in the Northwest area of Washington, D.C. 4. Following room requirements must be met for September 29-30, 2008. a. One plenary room for both days to hold approximately 100 people i. Setup of the plenary room should contain the following: 1. Setup as school room style 2. AV – one 7x7 screen 3. AV – one Lavaliere with second wireless microphone, one mixer and one PA system. b. Four breakout rooms to hold 25 participants each. i. Setup 1. Four Table rounds 5. Following room requirements for the half day meeting October 1, 2008. a. One meeting room to accommodate approximately 15 people i. Setup 1. U-shape 6. The following requirements must be met for sleeping rooms a. 30 rooms for September 29-30, 2008, not to exceed the Washington DC Government Per Diem rate of $201.00 per night excluding taxes and fees. b. 5 rooms for October 1, 2008, not to exceed the Washington DC Government Per Diem rate of $201.00 per night excluding taxes and fees. 7. Catering requirements for 100 people on September 29-30, 2008. a. Continental breakfast b. AM and PM Breaks consisting of coffee, hot tea and water with small pastries in the AM and soda, teas, water and cookies and brownies for PM break c. Business Lunch to include a salad, hot main dish, second alternate dish, breads, soup, desserts and non-alcoholic beverages. 8. There will not be any catering requirements for the October 1, 2008. Intended award date will be May 22, 2008.
