- This is an amendment to combined synopsis/solicitation to negotiate a Firm Fixed Price type contract for Hotel Accommodations, Conference Space and Hotel Services located in the geographic areas: Seattle, WA; or Las Vegas, NV. The amendment is for Request for Proposal VA-777-08-RP-0168 concerning a change of Period of Performance dates, Part A: Hotel lodging requirements and Part B for meeting space requirements dates.New Period of Performance dates are August 10-15, 2008. Change in Part A: Hotel Lodging (1a) 10 sleeping rooms on August 10, 2008; 95 sleeping rooms on Monday, Tuesday and Wednesday, August 11-13, 2008; and 25 sleeping rooms on Thursday, August 14, 2008. Group will check out on August 15, 2008. Rooms must be individual/private sleeping rooms with toilet facilities at government seasonal per diem rate for Seattle, WA ($152)-1st choice; Las Vegas, NV ($93)-2nd choice. Payments for Part A shall be the sole responsibility of each participant, to include no-shows fee. Part B: Hotel Facilities with wireless internet connections throughout the hotel including the meeting space are highly desirable. (1) Meeting Space- (Item 1) General Session Meeting Room to be held on a 24 hours basis starting with set-up for room and AV equipment on Monday, August 11, 2008 beginning at 8:00 am through Thursday at 5:00 pm. General session required seating set-up and meeting space needs remain the same. (Item 2) Breakout Rooms: Two (2) breakouts needed. These rooms are needed IN ADDITION to the General Session mtg room (total of 3 meeting rooms combined). These two Breakout rooms are needed on a 24-hour basis from 1:00 pm on Tuesday, August 12 until 6:00 pm on Wednesday, August 13, 2008. Breakout room required meeting space set-up and meting space needs remain the same. (Item 3) Speaker Ready/Staff Office Room - Room should be located near general session room. This room should accommodate a conference table for 10-15 and placed on a 24 hour hold beginning Monday, August 11 at 7:00 AM until 3 pm on Thursday, August 14, 2008. Requirements for this room remain the same. (Item 4) Registration Area starting on Monday at 8:00 am (set-up) through Thursday at 3:00 pm, August 11-14, 2008. Location and set-up needs remain the same. All meeting space and public areas of facility MUST be ADA compliant. All other needs and conditions for the meeting remain the same as the original solicitation.
