Description
4. GENERAL REQUIREMENTS: The contractor shall provide a turn-key scanning equipment solution to TF 134 at various locations around the command's Area of Responsibility (AOR). They will convert all existing, archived records to electronic format, and continue to convert all new records as they are produced. The electronic records must be stored in a way that makes them accessible anywhere throughout the command's AOR. All records will be scanned using Optical Character Reader (OCR) so all the text within each record is searchable. Additionally, each electronic record will be filed according to the detainee's Internment Serial Number (ISN) and labeled according to its security classification level. Contractors must be available 24/7 to ensure constant technical assistance is provided to monitor and maintain the scanning equipment deployed in the AOR. Scanning equipment will be accredited as appropriate. The contractor shall generate data that allows Task Force 134 to determine the cost effectiveness of any scanning equipment maintenance agreement. The contractor shall document the use of any scanning maintenance agreement. The contractor shall document the use of any customer maintenance and technical support agreement to include: audio and video hotline access use, unlimited parts replacement use, network troubleshooting assistance, and customer request for remote hardware/software diagnostic assistance. Additionally, the contractor shall track the responsiveness of any scanning equipment maintenance agreement customer call response time, courtesy equipment loan, and repair cycle from around time.
