Description
SUBJECT: UPGRADE TO RODATA CONFERENCE ROOMThe U.S. Department of Energys National Energy Technology Laboratory (NETL), Pittsburgh, PA intends to award a purchase order on a sole-source basis to RODATA INC, PITTSBURGH, PA to purchase the following items and work will be completed as per the Statement of Work listed below to upgrade the conference room in B58/103: 1. POLYCOM HDX 8002XL W/EAGLE EYE CAMERA. MDL #7200-27300-001 V 1 EACH. 2. POLYCOM HDX 8002XL QUAD BRI MODULE, MDL #2215-26690-001 V 1 EACH. 3. POLYCOM HDX 8002XL 2ND CAM/MON SOFTWARE, MDL: 5150-26126-001 V 1 EACH. 4. HDX CAMERA BREAK OUT CABLE, MDL #2457-23521-001 V 2 EACH. 5. HDX CAMERA POWER SUPPLY, MDL #1465-52621-036 V 1 EACH. 6. POLYCOM DVI TO 5BNC F ADAPTER, MDL #2457-23533-001 V 2 EACH. 7. VADDIO WALL MOUNT SHELF FOR EAGLE EYE CAMERA, MDL: 525-2000-221 V 1 EACH. 8. MONITOR LCD DISPLAY 65 SHARP, MDL #LC65D64U V 2 EACH. 9. CRITICAL CARE MAINTENANCE OF ABOVE SYSTEM (INCORPORATING EXISTING EQUIPMENT FROM PREVIOSU RODATA ROOM) V 2 YEARS. Scope of Work The Department of Energy has requested that RoData Inc provide a proposal to deliver and install a video upgrade for Room 103 in Building 58. This brief scope of work is designed to ensure that RoData has a firm understanding of the customer requirements at this location. RoData will design, deliver and install the following capabilities: 2 each 65 LCD displays will be wall mounted. The existing projector and Smartboard will be removed. The customer will be responsible for the repair to walls and ceilings due to the removal. The right display will have a feed from a VGA switcher to show either the HDX output or table PC. The left display will only show the HDX svideo output. A Polycom HDX8000XL video system will be installed in place of the existing iPower system. The system will come equipped with People & Content and an ISDN BRI interface. A Polycom Eagle Eye camera will be mounted on a shelf above or below the LCD displays. The existing document camera, rear camera, matrix switcher and AMX control system will not be reused. The existing equipment table box, Gentner AP800 and mics will be reused. The HDX microphone can be used during a failure of the existing equipment. The analog phone line will be relocated from the AP10 to the HDX 8000 for audio conferencing. The AP10 will no longer be used. The PC feed from the table will connect to a distribution amplifier in the rack. The amplifier outputs will connect to the HDX VGA input and to a VGA switcher. A VGA switcher will be installed in the rack. Input 1 will be the HDX VGA output and Input 2 will be the DA output from the table PC. This switcher will allow the customer to configure the VTC system for dual monitor and present/view high resolution graphics via the VTC system or to configure the VTC system for single monitor and view the native PC image directly on the right hand display. The existing amplifier and room speakers will be reused. Customer Responsibilities: The customer must supply an ISDN lines at the rack. The customer must supply a LAN connection at the rack if IP video conferencing is to be used. Equipment specifications subject to change due to furniture layout. Miscellaneous Items: This proposal is based on the following assumptions and criterion: All ceilings must be standard drop ceiling with removable tiles. Customer will make any required repairs to ceiling after installation is complete. All customer requirements will have been successfully completed prior to RoData arrival onsite for installation. All walls must be standard drywall with adequate space internally for any equipment, interfaces or cabling that must be wall mounted. Adequate shelving, access holes and ventilation must be provided inside any credenza that is used. Any customer provided equipment must be operational. Customer is responsible to provide any cutouts in furniture required for mounting of interfaces etc. All installation work is quoted to be completed during normal business hours. Customer is responsible for all trash removal. NOTE: TEH NEW UPGRADR WILL INCORPORATE AND INTEGRATE EXISTING EQUIPMENT WITH NEW POLYCOM UNIT. GENTNAR AND SPEAKER SYSTEM WILL REMAIN AND BE REUSED. RODATA IS THE DESIGNER AND INSTALLER OF THE EXISTING ROOM AND IS THE ONLY SOURCE ABLE TO COMPLETE THE UPGRADE WITH THE EXPECTED COST SAVINGS (USE OF RODATA DESIGNED/EXISTING EQUIPMENT). Only one responsible source and no other supplies or services will satisfy agency requirements. Simplified Acquisition Procedures FAR Part 13 will be used. This notice is for information purposes only. This request is considered to be sole source to RODATA INC, therefore, no solicitation will result from this announcement. All responsible sources may submit a bid, proposal, or quotation which shall be considered by the agency. Offerors shall provide sufficient technical literature, documents, etc., in order for the Government evaluation team to make an adequate technical assessment of the quote as meeting technical acceptability. Interested parties must provide rationale as to why they should be considered. A Firm Fixed Priced Purchase Order shall be issued using the Simplified Acquisition Procedures FAR Part 13. This is a small business set-aside. All interested firms must respond to DE-RQ26-08NT000970 by 05:30 p.m. EST, September 15, 2008.
