- The National Science Foundation (NSF) intends to procure meeting space, sleeping rooms, food, and audio visual equipment of a high-quality hotel for the NSF-EPSRC Synthetic Biology “Sandpit” meeting to be held on March 29 - April 4, 2009. The hotel must be located in or near Warrenton, VA. (The hotel must be located in close proximity to Dulles International Airport). The hotel must have grounds suitable for teambuilding activities for 40-50 participants to participate simultaneously. MEETING SPACE REQUIREMENT: The hotel must provide one (1) large general session meeting room to accommodate 40-50 attendees on March 29 - April 4, 2009. This room should have a lot of wall space for mounting flip-chart sheets, and very few tables. Three (3) breakout rooms are needed for March 29 - April 4, 2009 to accommodate 8-10 attendees, conference style. SLEEPING ROOMS REQUIREMENT: The hotel must provide 40-50 single, private rooms with private baths for the nights of March 29-April 4, 2009. AUDIO VISUAL REQUIREMENT: Large general session room requirements: In addition to the standard audio/visual equipment offered through the general meeting package (two flip charts, overhead projector, slide projector, LCD projector, projection screen, podium and microphone, hand held corded microphones, whiteboard, pencils & pads), a total of three LCD projectors and screens will be required in the large general session room on the first day of the meeting. Subsequent use of the projectors and screens will be determined as the sandpit design process develops. Wireless high-speed internet access must be available in the meeting room for up to 40 participants. Also, at least six (6) flip charts will be needed, depending upon the number of whiteboards that are available in the room. NSF intends to use an outside vendor for additional equipment, including laptops. The hotel contract must include an outside vendor clause. Breakout rooms: At a minimum, each breakout room should be equipped with one LCD projector and screen, two (2) flip charts, and one whiteboard. FOOD REQUIREMENT: The meal requirement for 40-50 attendees consists of 6 dinners, 6 breakfasts and 5 lunches. All meals should be buffet-style, and be served in a separate dining room area from the meeting rooms. All meals must also accommodate vegetarian and health conscious choices. Morning and afternoon breaks for 40-50 attendees will be needed for the duration of the meeting. NOTE: Pursuant to the National Science Foundation Authorization Act of 1988, NSF may use appropriated funding for special activities which includes meals and beverages.
