Description
The Bureau of Public Debt, Administrative Resource Center, on behalf of the United States Access Board, has the need for hotel rooms with accessibility requirements, and Food and Beverage Services in Boston, Massachusetts. The Access Board is a Federal Agency that develops and maintains accessibility requirements that entities with responsibilities under the Americans with Disabilities Act must meet. The Access Board, due to its mission and some of the attendees, require that the hotel rooms shall meet, as closely as possible, the current ADA Accessibility Standards. The following requirements listed below shall be provided: The Access Board needs to book a hotel for May 2009 in Boston. Based on past experience we anticipate needing approximately 25 sleeping rooms in total. Of those, we need 17 standard rooms; 3 tub accessible; and 5 roll-in showers. In lieu of tub accessible rooms, a hotel with all roll-in shower rooms would be acceptable. We are flexible as to dates - but are looking for 3-4 nights. We will need a meeting room for one full day to hold meetings. The meeting room should be large enough to hold about 100 people. It is possible that a reception may be held on the evening of the meeting day. We are flexible as to which of the 3 days the meeting in the hotel would be. May 10 is Mother's Day; May 25 is Memorial Day - we should avoid these dates. Hotel Requirements -- The Access Board requires a hotel that on the meeting dates agreed to can provide: · Meeting Room. A meeting room that will accommodate a "U" shaped meeting table seating approximately 25 people. The meeting room should be large enough to hold about 100 people in total. · Audio Visual Equipment. The Board will require the following equipment for audio visual support: a. computer projector, b. speaker phone, c. two (2) projection screens, d. sound mixer and speakers, e. Approximately 25 table microphones. · Food and Beverage Service. The Board desires to provide a continental breakfast and coffee service on the mornings of the stays. The Board will have one buffet luncheon meeting. The food service will be for 40 people. There may be a requirement for a reception for 100 people on the evening of the meeting day. · Sleeping Rooms. Based on our past experience we will need approximately 25 sleeping rooms in total. Of those, we need 17 standard rooms; 3 tub accessible; and 5 roll-in showers. In lieu of tub accessible rooms, a hotel with all roll-in shower rooms would be acceptable. The sleeping rooms should be for a period beginning the night before the scheduled meeting and ending on the night of the last meeting. One of the rooms with a roll-in shower must have a door to an adjoining room (That adjoining room does not have to be accessible.) The wheelchair accessible rooms must meet the ADA accessibility standards as closely as possible. Locations and Access Requirements -- The Access Board has developed explicit guidelines for choosing a hotel for its meetings. These are: 1. The hotel, its public areas, meeting rooms, sleeping rooms, and public restrooms, must meet, as closely as possible, the current ADA accessibility Standards. These standards can be found at the following web site: http://www.access-board.gov/ada-aba/final.cfm. In addition, the hotel must have done an excellent job of integrating the access into the general design of the hotel. For example, there cannot be a separate entrance that is accessible for people with disabilities but rarely used by people without disabilities. Access Board staff will make a determination whether the hotel most closely meets the standards. 2. The hotel must have sleeping rooms that are accessible to people who are deaf, or the hotel must have the required portable equipment. The Board will pay special attention to the accessibility, specifically the guest room bathrooms, in its determination of whether or not the hotel meets the ADA Accessibility Standards. The Access Board staff must be able to make a site visit to the hotel to determine whether or not it meets the accessibility criteria, design criteria, and other requirements. Additional information will be provided in the solicitation.
