- Scope of Work The purpose of this contract is to provide consulting services to support the CDC in organizing, planning, implementing, and disseminating the conference described above. This scope of work is organized by activity and describes the consultant services needed for the different phases of the conference. Phases of Conference Development and Dissemination of Proceedings: (1) Planning Consulting services are needed to organize and establish a qualified conference planning committee that can provide guidance on a variety of issues including conference format, selection of speakers, and the development of post-conference publication plans. With respect to the planning committee, consultative tasks include • Develop a committee in collaboration with CDC. • Organize and hold a one-day meeting of the planning committee to develop the conference plan. • Implement the decisions made in the meeting. • Engage in ongoing communication with planning committee members. The initial meeting of the planning committee will be held as soon as feasible after the execution of this contract, and implementation of the results of that meeting will begin immediately after its conclusion. (2) Implementation Consulting services are needed before and during the conference to accomplish the following tasks: • Implement the recommendations of the planning committee and design a 2- day conference. • Arrange for speakers and work with in the months before the conference on the scientific content of their presentations, how their presentations will complement other sessions, and how they will interact with all conference participants. Speakers will be asked to present overviews of their talks before the conference for distribution to selected participants to increase conference coherence in terms of themes and issues. • Develop an appropriate process for soliciting, organizing, and evaluating the scientific content of potential posters from young investigators. The consultant will undertake this task in collaboration with staff from selected Prevention Research Centers. • Develop and execute a strategy for inviting and communicating with relevant journal editors and funders, in consultation with CDC, to ensure their participation in the conference. • Develop and execute a strategy for promoting the conference to appropriate organizations whose members are interested in community research methods to ensure that these stakeholders have the opportunity to attend. • Confirm all conference planning logistics with CDC on an ongoing basis. • Develop a registration process for the conference that considers the fiscal situation of potential attendees (academic researchers, community members, state health officials, etc.). • Develop and present a conference session that could be used to educate attendees about the scientific issues associated with community-based research to aid in various aspects of the conference process to ensure that all scientific objectives of the conference will be accomplished. • Manage ongoing communications to update all stakeholders on how the substantive issues of the conference are developing. The specific dates of the conference will be decided at the planning committee meeting, and the tasks outlined above will start in early 2009 and continue throughout the conference. Priority will initially be placed on securing speakers, making decisions about the conference format, and developing a timetable for the administrative tasks that must be accomplished for a successful conference. (3) Post-Conference Activities Consulting services are needed for the following additional activities: • Plan, organize, and facilitate a meeting of the planning committee within two weeks after the conference to discuss the dissemination of conference proceedings. • Develop a book prospectus based on conference presentations to be sent to publishers for their consideration. The contents of this prospectus will be discussed at the post-conference meeting, and the prospectus completed within a month after the conference. • Develop a strategy for disseminating conference-related papers for journals in the varied disciplines represented by the conference participants (such as public health, anthropology, and community psychology) to make a discipline-specific impact. • Synthesize the reflections on the conference presentations and discussions to develop a series of next steps, including possible recommendations, for distribution to and further discussion by stakeholders. • Organize and plan a post-conference meeting to ensure the scientific issues discussed at the conference are incorporated in appropriate publications. • Develop and implement a dissemination plan for the conference proceedings.
