39TH REINTEGRATION Organization: Arkansas National Guard Office Event: Two day retreat for reintegration of soldiers and their families Purpose of Event: Provide a two day weekend workshop away from the home station for returning soldiers and their families to provide useful information and guidance from various sponsors to reunite the soldiers with their families and to help get answers to frequently asked questions soldiers and family members have concerning return from active duty to M-Day status. Date of Event: 21-22 MARCH 2009 Note: A Government representative will be present to verify those who will be participating in the event. Proposed Location of Event: Little Rock, Arkansas Lodging Required: Yes Number of Nights for Lodging: One Date of Lodging: 21 MARCH 2009 Type of Lodging Required: Overnight lodging must accommodate at a minimum two adults and one child per room. Projected Number of Lodging Rooms Needed for Event: 135 Meeting Rooms Needed: Yes Date Meeting Rooms to be Utilized: 21-22 MARCH 2009 Number of Meeting Rooms: Ten (10) meeting rooms (seven for breakout sessions and three for daycare facilities during retreat) PLUS one (1) large meeting area. Types of Meeting Rooms Required with Requirements: One large meeting area for 40 service providers and 5 job fair employees Date One Large Meeting Room Required: 21-22 MARCH 2009 Time: 7 AM (0700 hrs) to 5 PM (1700 hrs) 21 MARCH 2009 7 AM (0700 hrs) to 12 Noon (1200 hrs) 22 MARCH 2009 (1) Podium with microphone. (2) Audio visual screen for presentations. (3) Forty tables for table top displays 60 chairs for service provider attendants. (4) Coffee to be provided by contractor. Date Ten Meeting Rooms Required: 21-22 MARCH 2009 Time: 7 AM (0700 hrs) to 5 PM (1700 hrs) 21 MARCH 2009 7 AM (0700 hrs) to 12 noon (1200 hrs) 22 MARCH 2009 (a) Seven meeting rooms with classroom seating capacity (tables & chairs) with a minimum of 40 per room. (1) one head table for presenter/moderator in each room. (2) classroom seating capacity (with tables & chairs) minimum of 40 per room. (b) Three meeting rooms with open space to accommodate daycare areas for children. (1) television in each room, cable ready, able to accept electronic gaming systems (2) two tables and seating for daycare personnel, five chairs per room. (3) one room for childern 0-thru 4 years old. (4) one room for childern 5 thru 12 years old (5) one room for childern 13 thru 17 years old.. (Note): cleanup of all meeting rooms is expected to be responsibility of contractor. Meals for Attendees: A total of four meals must be provided for attendees from lodging/hotel facilities. Type of Meals to be provided: Hotel must be able to provide a buffet style set-up for all meals.
