- The following are questions submitted regarding the Baltimore Conference RFQ along with the answers: Q1. Would [the government] be willing to consider using an overflow hotel for some of the rooms?.... we have existing reservations already for the dates in question. We work with a nearby [hotel], and could transport any of the overflow rooms at no cost. Is this something that can be considered? A1. Although it would be the government's preference to accommodate all at one location we would be willing to consider use of an overflow hotel depending on circumstances (e.g., distance, frequency of transportation between facilities, etc). Offeror to describe in sufficient detail to allow analysis of functionality in proposal. Q2. I see that you are looking to rent 28 computers and five networked printers; is that figure correct? Do they need to be desktop PC's, or laptops? A2. The number of computers and printers is firm and the government needs PC (as opposed to Apple/MAC) but there is no preference on desktop vs. laptops. Q3. If an attendee cancels will they still be responsible for payment of no show. A3. Regarding reservations, billing, and minimum rooms, the government provides the following: FEMA will place on the contract 180 rooms for five nights for the weeks of April 26, May 10, and May 22. It is anticipated that a maximum of 200 rooms will be needed. Approximately 10 of these anticipated 200 rooms will be need for an additional night. For the week of July 27 FEMA will contract for 44 rooms for four nights with up to 60 rooms being anticipated. The contract will cover the minimum number of rooms as firm and will allow for the maximum number on an "as occupied basis." The government prefers that the participants are able to just show up without having to call in and reserve the rooms. The government understands participants having to give a credit card at time of registration to cover incidentals. The resultant contract(s) will not cover incidentals (room service, in-room movies, tips, etc.)
