- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation. Fort Carson intends to award a Firm-Fixed-Price Contract for conference services at a mountain resort location. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on 26 March 2009, 12:00 p.m. Mountain Time. Quotes received after this time shall not be considered. The Contractor shall propose the following Contract Line Item Numbers (CLINS): 0001 Total Lodging _________ 0002 Total Food and Beverage Charges _________ 0003 Total Childcare Charges __________ CLIN 0004 Total Audio Visual___________ Total: __________ STATEMENT OF WORK The total proposed price shall be all inclusive. (Include any incidental charges, i.e. parking, surcharges, etc.) The period of performance is April 17-19 2009. With one room required on April 16, 2009. 1.The vendor shall host 24 Single Soldiers and 35 married couples and their children for the 4BCT, 4ID Strong Bonds Single Soldier Retreat from 17-19 April 2009. The quantities and charges shall not exceed what is authorized and specified in the contract and associated CLINs. 1.The room breakdown is as follows: a.35 family rooms for two nights April 17-19 b.11 double occupancy rooms (2 single soldiers each room) for two nights April 17-19 c.1 double room for Single Chaplain Trainers for three nights April 16-19 The family rooms will include a queen-sized bed or larger for the adults and beds for the children. The double rooms shall have two beds size double or larger. In addition, each room shall have a refrigerator, private bath and a television. Rooms shall be private (i.e. church camps with bunk beds and group housing are NOT acceptable). 2.The vendor shall provide buffet meals as follows: a.Friday, April 17, 2009: i.Dinner for 94 adults and 40 children b.Saturday, April 18, 2009: i.Breakfast for 94 Adults and 40 children ii.Lunch for 94 Adults and 40 children iii.Dinner for 24 Adults in one room and 40 children in a separate room iv.Coffee Breaks throughout the day during meeting times v.Substantial Snacks for Children while in child care c.Sunday, March 8: i.Breakfast for 94 Adults and 40 children ii.Lunch for 94 Adults and 40 children iii.Coffee Breaks throughout the day during meeting times iv.Substantial Snacks for Children while in child care 3.The vendor shall provide two conference rooms for training. One on Friday (1800- 2000 hrs), Saturday (0800-1200, 1800-2000) and Sunday (0700-0930 hrs) for 24 adults. A separate conference room for marriage training Friday (1900 2100 hrs), Saturday (0800-1200) and Sunday (0800-1200 hrs) for 70 adults. Both rooms shall be furnished with round tables, chairs, podium with microphone, pens, notepaper, projector screens aprox 6X6, and DVD capability. Conference rooms shall have air-conditioning and heating capability for climate control. The vendor shall provide computer connectivity with audio and video capability for Government-provided computers. 4.The vendor shall provide a separate conference room space located in the same building in close proximity to the meeting conference room to accommodate vendor-provided childcare services for 40 children. Services are required on Friday night (1800-2100), Saturday (0800-1230 and 1800-2200) and Sunday (0800-1200). This room will be conducive to setting up children's activities. The vendor shall provide computer connectivity with audio and video capability and a large TV and DVD player for the children's activities areas. The vendor shall provide all equipment necessary for childrens activities. a.The ages of the children range from 0-11: The age breakdown is as follows: i. Age 0-3 Qty 10 ii.Age 4-7 Qty 16 iii.Age 8-11 Qty 14 5.CONTRACTOR QUALIFICATIONS AND SPECIFICATIONS: a.The vendor shall be located a minimum of 100 miles from Fort Carson, CO, and a maximum of 125 miles. The vendor shall provide a licensed childcare provider for the childcare services. The vendor shall have on-site recreational facilities and be within 5 miles of restaurants and ski slopes. The following factors shall be used to evaluate offers: Price, capabilities, and past performance. The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so. To be eligible for an award, contractor must be registered in the Central Contractor Registration (CCR) database.
