Description
Event Pricing Worksheet and Description of Services required This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Federal Acquisition Regulation (FAR) subpart 12.6, as supplemented with additional information included in the notice. This announcement constitutes the only solicitation; quotations are being requested and written solicitation will not be issued. The Bureau of Prisons (BOP), National Institute of Corrections (NIC Division), is seeking quotes from Hotels in the 92101 and 92108 zip codes of San Diego, CA, to host the Executive Forum for Deputy Director's Conference October 5-9, 2009, to include lodging, meeting/conference room space, food and Audio/Visual equipment needs. Hotel should be with 20 miles of a major airport. The NIC division is seeking lodging in a hotel/resort that possess a hotel conference room, specifically made for conferences (not two rooms converted into a conference room), no less than 2,500 square feet. Lodging: The BOP will be providing on-site staff for the conference, no event management staff is needed. Fifty (50) single occupancy rooms for Conference Participants will be needed beginning Monday, October 5, 2009 (Arrival) through Friday, October 9, 2009 (Departure). Five (5) additional single occupancy rooms will be blocked for BOP/NIC staff, however, will be paid for via Government Travel Credit Card and not included in the pricing requested by this solicitation. Meeting Rooms: One (1) main meeting room, minimum 2,500 square feet. The room will be needed as follows: Monday (10/5/2009), 5:00pm - 7:00pm. Tuesday (10/6/2009): 7:30am - 5:00pm Wednesday (10/7/2009): 7:30am - 12 Noon Thursday, (10/8/2009): 7:30am - 8:00pm Set-up: Horseshoe of fifty-one (51) One (1) 6-ft rectangular table, front of room Two (2) 8-ft rectangular tables, rear of room (Thursday only) AV Equipment: Screen - 12 X 12. Microphone Extension Cord One (1) Flip Chart Internet Access in Meeting Room BANQUET SERVICES: Meals: Monday, October 5, 2009 - Reception - dinner - 55 people Tuesday, October 6, 2009 - Breakfast - 50 people Wednesday, October 7, 2009 - Breakfast - 50 people Thursday, October 8, 2009 - Breakfast - 50 people, Dinner/Banquet - 55 people Friday, October 9, 2009 - Breakfast, 40 people Breaks: Tuesday, October 6, 2009 - Morning and Afternoon Wednesday, October 7, 2009 - Morning Only Thursday, October 8, 2009 - Morning and Afternoon Morning (Tu - Th) - coffee (regular and decaffeinated), teas, assorted juices, pastries Afternoon (Tu, Th) - Sodas, snacks **Please submit a menu with prices for the event. The NIC division will not accept fees for any services that are not provided, i.e. on site-staff. Companies need to provide audio visual and banquet/menu price list.
