Description
This is a combined synopsis to negotiate a Firm Fixed Price type contract for Conference Space located in the Washington Metropolitan Area. Facility should have easy / close accessibility to metro / local transportation. The National Geospatial Intelligence Agency (NGA) is soliciting for a location to hold an off-site July 13 - 15, 2009 to accommodate 100 attendees. These dates are definite; no changes will be accepted for these dates. Only establishments that can honor these dates will be considered. Request for proposal HM017709T0015 is in accordance with FAR Subpart 12.6-Streamlined Procedures for Evaluation and Solicitation for Commercial items. This is not a solicitation for Event Planning services or 3rd Party Event Planning Services. This announcement incorporates FAR provision and clauses in effect through FAR FAC 2005-32, effective March 31, 2009. NAICS Code 721110 and the small business size standard is $7 million, respectively. This announcement is solicited unrestricted, and constitutes the only bid document that will be issues. Major Criteria: •MUST BE COMPLIANT AND ABLE TO ACCOMMODATE AMERICANS WITH DISABILITIES FOR PARTICIPANT WHO ARE PHISICALLY CHALLANGED ACCESSABLE TO METRO / LOCAL TRANSPORTATION •Location must have and all inclusive meeting package to include but not limited to the following: 12:00 noon check in and late checkout on the last day. Complete access to amenities, such as complimentary parking • Washington, DC Metropolitan area convenient to hotels and transportation Metro / airport with complimentary shuttle service. Facility: •Access to business center at no cost must be included and available for faxing, copying and on-site internet access. •Office space (13 July (by noon), all day and up to 7:00 on 14,15 and 16 July). One room designated as working office for 4-6 people with all inclusive use of computer, printer, copier and phone. •General Session room (three days: 14,15, and 16 July from 7:00AM - 6:00PM). Accommodation for 100 people each day. Dedicated technical support to operate slides and equipment. Complete A/V package to include guest speaker microphone (portable), podium with microphone, laptop computer and sound with Microsoft word package, DVD player with ability to project videos and Power Point presentations to large screen. •Break - Out Rooms (2) (three days: 14,15 and 16 July from 7:00AM - 6:00PM). Two rooms that can accommodate up to 50 people per room. Laptop computer with projection to screen, ability to projection to screen, ability to project Power Point slides and play DVD videos in each room. Flip chart with paper and markers in each room. Set up in crescent rounds seating 6 per table. •Networking Reception area (two nights from 4:00 - 6:00PM) 14th and 15th July 2009. Serve light snacks / finger foods and complimentary sodas and water. Tables and sitting area for 75. •Ballroom Area for Awards Dinner on 15th July 2009. Accommodation for 100 participants. Room set up crescent rounds (8 people per table. Dedicated technical support to operate slides and equipment. Skirted table for awards and plaques. Conference Support: •Dedicated conference planner to attend to details through event. •Dedicated technical support to assist in AV equipment and computer / slide projections. Lodging: •Single occupancy guest rooms with private bath for approximately 30 (overnight accommodations will be needed for three night from 13 - 15 July 2009 and will be paid by attendees). •Reserve block of 30 rooms to be paid by attendee. Release unreserved rooms by 7 July 2009 with no financial obligation. Food: •Facility should offer all-inclusive package to cover full breakfast, buffet lunch, and AM and PM snacks each day (14, 15, and 16 July). •Refreshments must be provided at time specified by organization. •All meals must be in accordance with Government M&IE rates. •Meals must be provided in private dining area. •Two breaks per day on 14, 15 and 16 July, (AM) break to include coffee, decaf, tea, assorted pastries, seasonal fruit and bottled water. (PM) break to include coffee, decaf, tea, assorted sodas, cookies, brownies, ice cream bars, seasonal fruit and bottled water. Refreshments should be set in general session room or separate dining areas conveniently located / accessible for all attendees. •15th July, from 6:00 - 10:00PM, three course plated dinner with choices of meat, fish, or pasta and ability to meet special dietary requirements. •Sit down dinner to accommodate 100 people for awards banquet, evening of 15th July. Equipment: •Laptop computers (three: 1 in general session and 1 in each breakout room) •On-site A/V equipment with tech support including but not limited to - DVD player (video to screen capability), LCD projector, screen, power cords and AV table. •Easel chart with paper, markers and pencils in each general meeting and breakout room. •Ability to post / tape easel charts on the walls and leave overnight. Offerors must include a complete copy of the FAR 52.212-3 Offeror representation and Certification along with his / her offer / proposal; FAR 52.212-4 Contract Terms and Conditions Commercial Items.
