Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with FAR Subpart 12.6, supplemented with additional information included in this notice. This announcement constitutes the only solicitation. Quotes are being requested and a written solicitation will not be issued. It is the responsibility of interested sources to monitor FedBizOpps for any amendments to the solicitation. A Firm Fixed Price type contract will be awarded for Hotel Accommodations, and Conference Room Space located within seven (7) miles of the Consumer Product Safety Commission located in Bethesda, Maryland and easily accessible from Washington, DC airports and the Metro subway system. CPSC will not consider a quote submitted by an offeror that is not a hotel. The Period of Performance for this requirement will be the following dates, August 18 - 21, 2009. No other dates will be considered. An estimated 45 (peak night) sleeping rooms per night. Meeting room space for a 2 day conference starting (August 19 - 20, 2009). The sleeping rooms and meeting space MUST be in the same facility. Guest will start checking in Tuesday, August 18, 2009, at 3:00pm and check out on Friday, August 21, 2009. The hotel shall provide all requirements specified in Parts A, and B below. Lodging rates MUST be within the Government Per Diem rate or lower for the area. A response to requirements listed shall be submitted on letterhead and must address all requirements listed in a separate quote. A completed Hotel Contract rates shall be submitted with your proposal, along with a descriptive literature to include sleeping rooms, meeting room space, information (availability/cost) on amenities of hotel i.e., parking, shuttle services, and transportation to/from airport. The hotel facility MUST be listed with current status on the Central Contractor Registration website (www.ccr.gov). The hotel facility must accommodate an estimated 45 attendees per night (peak nights based on the timeframe) for the following: Part A: Hotel Lodging: 45 hotel sleeping rooms for travelers checking in the night of Tuesday, August 18, 2009 45 hotel sleeping rooms for travelers the night of Wednesday, August 19, 2009 45 hotel sleeping rooms for travelers the night of Thursday, August 20, 2009 Part B: Meeting Space 1) One General Session Meeting Room to be available Wednesday, August 19, 2009 through Thursday, August 20, 2009. Set for 70 people in classroom style seating with podium/microphone and stand/floor microphone, wireless preferred, with push to talk. Also need space to accommodate head table seating for 4 with 2 push-to-talk table microphones, PowerPoint projector, screen appropriate for room and audience to see sitting in the back of the room and all necessary wires/cables/power cords. 2) Registration desk: should be placed outside the general session room door. Other requirements: Hotel shall be within seven (7) miles of the Consumer Product Safety Commission located in Bethesda, Maryland and easily accessible from Washington, DC airports and the Metro subway system. In response to this notice quoters must submit pricing for: CLIN 0001 45 hotel sleeping rooms for the night of August 18, 2009 per night. CLIN 0002 45 hotel sleeping rooms for the night of August 19, 2009 per night. CLIN 0003 45 hotel sleeping rooms for the night of August 20, 2009 per night. CLIN 0004 Meeting space for 2 day conference starting August 19 - 20, 2009 to include audio visual equipment detailed as detailed below: a. Podium with microphone b. Two push to talk table microphones c. Stand/floor microphone, wireless preferred with push to talk d. PowerPoint projector e. Projection Screen f. All necessary wires/cables/power cords Basic for Award The government will award this procurement to the lowest priced technically acceptable offeror. All charges and fees shall be evaluated to determine lowest price. The contractor shall be responsible for meeting all aspects of the contract terms and conditions. Specially: a) The facility must be within seven (7) miles of CPSC headquarters located at 4330 East West Hwy, Bethesda, MD 20814. b) The facility must provide parking availability for 45 attendees. Clauses The following clauses are incorporated by reference: 52.212-1 Instructions to Offerors-Commercial Items; 52.212-3 Offeror Representations and Certifications-Commercial Items; 52.212-4 Contract Terms and Conditions-Commercial Items; 52.212-5 Contract Terms and Conditions Required to Implement Statutes or Executive Orders-Commercial Items Questions regarding this solicitation must be submitted via email to gmyles@cpsc.gov on or before 4:00pm, June 22, 2009. Questions will not be answered over the phone and questions submitted after this date will not be considered. Date and time for submission of quotes: Quotes must be received no later than 4:00pm June 30, 2009.
